You will;
Be educated to APM Introductory Certificate level. The Project Coordinator will have a logical and methodical approach to their work and should be able to assist in all aspects of the efficient delivery of the projects.
They will support the growth and continuous improvement of the business by assisting the Project Manager to ensure that each project is effectively managed to time, quality and cost requirements.
Has strong administrative skills, organisational skills and customer focus. They will demonstrate good attention to detail in all of the tasks that they work on.
Is able to maintain harmonious relationships with customers and contractors even during conflicts.
Has a professional approach and excellent communication skills which generate credibility and confidence in others.
A team player who actively supports a culture of continuous improvement.
Is able to work effectively under pressure, and has an effective approach to solving problems using common sense and initiative.
Has the ability to influence people to achieve most effective solutions, and knows when it is appropriate to escalate issues that need management attention.
To ensure all work is carried out in accordance to legislative and company procedures, including environmental, quality and health and safety procedures.
Able to assist with all aspects of Project Management from inception through closure.
To assist in the efficient delivery of the projects, including the effective control of project documents and the preparation, maintenance and filing of accurate detailed records (including the records returned by site teams).
Develop and maintain effective relationships and communications with the internal teams and the customer.
Assist in ensuring compliance with all Health & Safety regulations, including Network Rail specific safety standards and procedures.
Working to company procedures liaise with other departments to ensure project deliverables and timescales
Attend project meetings including kick-off meetings and others e.g. progress meetings throughout project lifecycle as required. To take meeting minutes as and when required at the meetings they attend.
Liaise with client representatives on an as required basis to address project related issues, and stand in for the Project Manager on the customer interface when required to do so.
Assist the Project Manager to ensure that projects are completed on time and within budget, to the required standards of performance, quality and safety.
Assist in the preparing and maintaining of schedules for project activities.
Assist the Project Manager to ensure effective time planning and fatigue management, including KPI production. Complete fatigue management risk assessments under the supervision of the Project Manager.
To produce required site documentation, typically Task Briefings, Permits to Work, At Risk (or Disconnection) Notices and Site packs etc. under the supervision of the Project Manager. Site packs may include the need to produce labels for the installation works.
To collate documents for production and updating of project KPIs, including quality and HSE KPI where required.
Coordinate and compile records for the production of project health and safety files or construction files for submission to the customer.
Liaise with the site engineers on a regular basis to ensure that real time information is available to management, ensuring that all collated data is complete and accurate.
Liaise with the Safe System of Work planning team to request SSOW planning and facilitate safe, correct access procedures for planned worksites.
Liaise with the Procurement & Materials Management team to manage the on time delivery of the Bill of Materials and Equipment required at the project worksites.
The production of IFS crystal / financial reports for the Project Manager. Where required maintain up to date cost data in spreadsheet format retrieving data from the financial system.
Assist the Project Manager with man management of the Project team, including those working on site and sub-contractors. Assist to efficiently manage queries and issues reported back by the on-site project team.
Coordinate short term changes in project subcontractor requirements and scheduling for the Project Manager.
Assist the Design & Engineering manager with engineering works scheduling (if allocated to this work as one of your projects)
Complete general administration duties when needed to support the business (when the administrator or receptionist are not available or if additional capacity is required to cover peaks in workload)
Assist the PMO manager with resource planning and the production of weekly utilisation reports required by the senior management team.
Evaluate and help to implement process improvements to improve project work flow and more effective project delivery. Take responsibility for appropriate internal change projects that introduce improvements at.
