Job Overview
Provide dedicated administrative support to the section 16 QHSE team to ensure effective and efficient operation as directed by your line manager. The role will encompass the delivery of a wide variety of tasks, with a focus of this role being the deliverance of excellent administrative service.
Main Duties
-Efficient clerical and administrative support as required including but not limited to:
-Create and manage reports through data platforms such as Moziac, Eco-Online and other CAFMs, using data to support performance improvement
-Identify hazards reported by employees as a reactive fault that should also be reported into Eco-online
-Identify hazard observations that should be reported across platforms
-Support the advisor to work with the wider team in respond to Haz Observations trends and drive relevant improvements
-Coordinate monthly KPI submission, liaising with service partners as required
-Prepare monthly report of First Aider and Evacuation Controller roles, in liaison with partners
-Management of the FRA and Asbestos inspection programme, providing a monthly report of all completed PPM’s, associated remedials and addressing missed attendances
-Upload all Asbestos and FRA reports, for the whole estate, to the relevant location. -Liaise with the relevant contractor to ensure reports are received promptly after surveys.
-Manage weekly processes to ensure all FRActions are assigned and no-assigned actions are proactively identified and addressed
-Prepare updates for all Helpdesk Knowledge Articles used by the Helpdesk
-Managing DSE assessments for employees and recommending suitable reasonable adjustments and equipment. Arrange individual DSE reviews with Local H&S Co-ordinators and escalate medical related issues to the QHSE Manager to resolve.
-Monitor the reporting of incidents to the reporting system. collect information to produce monthly reports;
-Provide a central point of contact for employees for HSE&W related matters, respond to phone, e-mail
-Order equipment such as high vis jackets, orthopaedic chairs, H&S Law posters etc. as and when required;
-update information on the Health & Safety, Environment and pages as requested by HSE&W Team
-Track actions from inception to completion resulting from building fire risk assessments.
-Liaise with the Facilities Team to ensure up to date information is displayed on notice boards
-Attend team meetings and support QHSE initiatives.
-Maintain personal skills and competences, keeping up to date with company requirements and training requirements.
-Support ad hoc projects as directed by the S16 Team Lead
