Salary: £26,000 per year

We are currently recruiting for a Receptionist to join our team at our Cole Street offices in Scunthorpe.

This role is a Grade 4 (£17,073) and is full time Monday to Friday. The role is a Permanent role.

Overall Purpose of Job

Provide excellent customer service from the reception desk, offering up-to-date, detailed information on the latest opportunities, vacancies, training courses and services available, informing them about what we can offer to help them. Wherever possible, we aim to support people to make a difference in their lives.

Deal with a range of customers on a daily basis, answer queries and offer information that involves a lot of interaction with the general public (as well as with colleagues) in a variety of methods including face-to-face, over the phone and via email, handling anything from general enquiries to complaints.

Work as part of a team to deliver a consistent, high quality service, carrying out a range of administrative and recruitment tasks to support the recruitment and support teams.

Contribute towards the achievement of ongo Communities strategic and operational targets and overall company aims.

Main Responsibilities

Use excellent customer service and communication skills to offer help, advice and signposting to ensure every customer who comes through the door leaves with information, given in verbal or written form, or an appointment with the appropriate member of staff.

Key holder responsibilities with regard to opening and closing the building to the public at 9am and 5pm respectively (4.30pm on Fridays).

Welcome visitors, offer refreshments and prepare meeting rooms as required.

Control the room bookings system for the building, taking bookings and supporting hirers with refreshments, equipment, etc.

Maintain positive working relationships with our temporary workers (recruitment team), check time sheets have all required information.

General office duties including dealing with incoming and outgoing mail, posting letters and parcels, photocopying, filing and sending faxes, ordering stationery and other products

Ensure the reception area is clean and tidy at all times, updating the literature on display in the window and leaflet holders.

Once trained, support the teams, including PR, with opportunities for marketing on social media e.g. training courses and good news stories

Support the teams to prepare for external events.

Work with the Compliance Officer to support the management of the building; report repairs and other issues, maintain the storage cupboards and stationery supplies room.

Participate in personal support and supervision; undertake personal development training as appropriate to the post.

Ensure a First Aid qualification is taken and kept up to date

Undertake other duties and responsibilities appropriate to the grading of the post as considered appropriate.

Ensuring an up to date full understanding of the projects we offer and the vacancies we have on a day to day basis to maximise the opportunities for us to maintain our reputation of “never turning anyone away” and making the most of the potential in every single person who walks through our door

Considering the requests from customers (at reception and by telephone) on the services they require and use our triage system to refer to the right member of the team

Ability to support both employment support and recruitment teams by managing time and tasks effectively

Understanding of the importance of meeting deadlines and communicating objectives and achievements well

Excellent oral communication skills, including the ability to use clear language within a variety of contexts

Working to strict timescales and meet deadlines

Strong interpersonal skills, and ability to deliver excellent customer service

Contacts & Relationships

The post holder will need to have effective interaction with third parties; businesses and agency workers.

The ability to forge and maintain relationships with customers, agency workers and staff

Work within set procedures and targets determined by your line manager

Ability to work as part of a team to formulate solutions

Responsibility for Resources

Take responsibility for the day to day running of a customer service desk

Ensure the office is tidy and closing up procedures are completed daily

Knowledge, Skill & Experience Required

Essential

* Excellent customer service skills

* Excellent telephone manner, communication and administrative skills

* Ability to promptly identify and meet customers needs in a busy, working environment

* Ability to use Microsoft Office including word processing, spreadsheets, data bases, PowerPoint, Outlook, email and the internet

* Ability to work on own initiative to ensure the reception desk is operated from 8.35 to 5.05pm each working day

* Ability to manage time and work effectively to provide support to different teams working within the office

* Knowledge and awareness of the issues and factors faced by members of the community and in particular those facing barriers to employment

* Good general education including numeracy, literacy and writing skills

* A strong commitment towards Equality and Diversity principles

Desirable:

* First Aid qualification

* Ability to work flexibly with some out of hours working including evenings and weekends where necessary
