Salary: £30,000 – £32,400 per year

JOB PURPOSE

Schedule and co-ordinate all internal processes to support UK project activities through departmental liaison, progress reporting, interfacing with the customers and ensuring all projects are delivered in accordance with the contract, with accuracy and speed giving the customer an excellent service.

DUTIES AND RESPONSIBILITIES

Ensure the smooth and transparent interface of multiple projects through the co-ordination, monitoring and administration of related activities including, but not limited to, the following:
The management and distribution of all Exhibition Generated Leads from Hong Kong, Frankfurt, Elex, LuxLive, Local Wholesale Tradeshows, company’s Database and Editorial/Marketing Leads.
The daily management of Salesforce, creating quotations.
Wholesale interface by processing order requirements, Saleforce numbers on Purchase Orders, confirming commercial terms with contractors, setting margin uplifts direct to contractor, confirming contact details, develop and maintain Wholesale relationships and attend some face to face meetings.
Contractor interface by confirming contact details, sending quotations direct, sending New Product proposals either by email or discussion, marketing and keeping Contractors aware of regulation changes and updates.
Project Client interface by confirming contact details, sending quotations and New Product proposals, Project Client liaison and relationship building and Marketing liaison including datasheets and handover.
Collate and maintain a professional contacts list, maps and cross reference material.
Liaise with distributors.
Co-ordinate and manage all aspects of the Projects database including chasing and progressing all projects, allocation of project numbers, project and non-project relevant customer/client information and details of standard, bespoke and one-off products used.
Maintain accurate and up-to-date project plans and logs, tracking responses and advising project team members and functional heads on any project risks and changes; instigating corrective action when necessary.
Prepare and submit relevant documents to customers and co-ordinate the documentation received from the customer.
Liaise with the National Specification team, sales representatives, architects, consulting engineers, electrical contractors, consultants, developers and lighting designers.
Ensure all contract specification requirements are satisfied.
Arrange and participate in project meetings as required.
Be the point of contact for Lighting Design, the link between PSM’s and Project Design and the time management of designs.
Liaise with the Purchasing and the Warehouse to ensure products are available and delivered in line with project timescales and requirements.
Be aware of the Special Designs within the company, Microlights, China and SCE.
Co-ordinate the submission of relevant invoices, ensuring they are submitted to the Customer in accordance with agreed terms.
ROI Analysis, completing spreadsheet, gathering key data and analysing
the preparation of reports and correspondence;
When necessary, visit customer on site to resolve problems and queries.
Manage the activities, reporting and administration of the Projects Team.
Prospect mapping of target organisations.
SKILLS AND EXPERIENCE

Strong project and contract administration experience ideally from within the Lighting industry.
Proven track-record of effective customer service experience.
Product knowledge specific to the lighting industry preferred but not essential.
Excellent knowledge of Windows based software such as Word, Excel, Access, PowerPoint and Outlook.
Visual Meetings utilising online tools.
Good presentation skills.
Educated to GCSE level, preferably with grade C or above in Maths and English.
