Lettings Administrator – Chelsea
Our client, one of the biggest and best estate agents in the country are looking to recruit for a Lettings administrator to join their busy office in Chelsea
The job role involves the following:
Diary management – market appraisals, viewings, canvassing etc
MA preparation – Rightmove, Lonres, Vizzihomes reports & prepare MA packs for managers.
Entering new properties onto Aspasia.
Checking properties are displayed / uploaded correctly on all portals.
Production of lettings related correspondence from Aspasia system, including accurate typing up of property details and use of standard letters. Typing up of other tenancy related documentation (tenancy agreements, offer letters, invoices etc).
Maintaining the Aspasia journal, ensuring that property status on Aspasia is updated, informing all staff of any changes, use of Aspasia to keep property notes, and general maintenance and updating of the Aspasia system.
The continued functioning of office IT, fax, photocopiers, printers, franking machines etc; call out of contracted maintenance firms as required.
Maintenance of the paper filing and archive systems, ensuring files are weeded prior to archiving.
Provision of an adequate supply of all properties’ details and lettings lists.
Chairing morning meetings and prompting manager/staff over administrative actions required concerning lets, and overseeing deal progression, canvassing etc.
Liaison between clients, other agents, photographers, floor planners, contractors etc to book and arrange floorplans, photographs, EPCs, gas checks, electrical checks etc
Collation of weekly and monthly figures and sending them to Head Office in a timely fashion.
Collation of attendance records, time sheets for part time staff and passing them on to Head Office
Liaising with Renewals team on information to secure renewal.
Liaising on all client accounts and property management issues.
Liaising with Marketing Department over advertising, and Accounts Department, as required.
Incoming and outgoing post for building, re-crediting of franking machine.
Monitoring security of property key storage and maintenance of the key booking-out system.
Monitoring of stationery levels and ordering as required.
Sending expense forms / invoices to accounts (Manchester).
Land registry searches, finding owners details and sending appropriate letters.
Printing and sending canvassing letters.
Organising "For let”, “Just let” and “Just re-let” cards via marketing.
Taking payments on Streamline, banking and sending appropriate paperwork to Bath.
Maintaining window displays.
Greeting/fielding members of the public when fee earners are out on appointment
