Adecco Recruitment in Preston are currently recruiting for on behalf of their client, a Contracts Administrator to work for a well established and growing business within the construction and building industry
JOB DESCRIPTION – CONTRACTS ADMINISTRATOR
Reporting To:The Construction Administration Manager (CAM).
Liaising With:Contracts Management, Quantity Surveying.
Purpose of the Job:The purpose of the role is to support the Contracts Management Department with a variety of tasks (as outlined below) using up-to-date software applications.
Other Requirements:Smart personal presentation is required on a daily basis, as is a pleasant manner. Excellent organisational skills and self-motivation are required to complete tasks timeously and accurately. A proactive approach to the job is required along with the ability to communicate at all levels. Ability to work under pressure and use own initiative as well as the ability to work alone and as part of a wider team. Driving licence is desirable/essential for the role.
Qualifications: a minimum of 5 GCSEs at Grade C or above, including English and Maths; familiar knowledge of Microsoft Office suite of software.
Principal Duties for the Post will include but are not restricted to the following;
Contracts Management Department
Construction Phase Plans – when requested by the Construction Administration Manager (CAM) or Construction Administration Supervisor (CAS), prepare supplementary information to include: hospital directions/hand-outs, site rules, signage (directional, first aid, disabled access etc.) and laminate etc.
Prepare and draw up the Traffic Management and Fire Plans prior to the contract start and make any necessary amendments throughout the duration of the project. Provide these to the Construction Administration Manager or Construction Administration Supervisor for inclusion in the Health and Safety Plans.
Verification and updating of Construction Drawings in A3 folders on a monthly or fortnightly basis to include new revisions; old drawings to be marked up as “superseded” and stapled to new revision.
Close out all transmittals from within CrestDOCS.
Ensure and verify that all drawings requiring scanning/printing as directed by the CAS are completed as required and provide help to the Assistant in busy periods to ensure efficiency.
Draw up “as laid” drawings for drainage as required by CMs, print and store on the network as directed.
Produce neighbour notification letters for the Considerate Constructors Scheme.
Create individual site newsletters for each project and provide regular updates throughout the duration of the contract.
Create site specific induction hand-outs for each project and update throughout the duration of the contract as required and always before any planned CCS visit.
Record the movement of survey equipment used on site and ensure re-calibration is carried out regularly; diarise these to ensure ISO compliance.
Produce project specific sign boards for each project and update throughout the duration of the contract.
Prepare the “Review of sub-contractor scores” documentation for completion by the Contracts Managers and Quantity Surveyors upon completion of each project. Maintain electronic and hard copy files for ease of access and assist CAM when required for collation.
Second contact for departmental telephones (via automated options) for Contracts Management Department.
When requested by the CAM, provide assistance in preparing information for Considerate Constructors visits prior to assessment.
When requested by the CAM or CAS, provide assistance with site logistics (cabins etc.) and maintenance/repairs required etc.
When requested by CAM or CAS, provide assistance with PowerPoint presentations.
When requested by CAM or CAS, provide assistance in designing new signage for site cabins.
When requested by CAM or CAS, provide assistance in compiling recycling figures throughout the duration of the project.
ConstructCO2
To assist/compile with input from the Contract Teams, Site Specific Carbon Footprint Reports throughout the duration of the projects.
Assist where required, for the few weeks, in setting up the ConstructCO2 reporting and provide help and training to the Site Managers where necessary.
Health & Safety Files
When requested by CAM/CAS assist in compiling the Health and Safety File at the end of the project. Items include the following:
Compile and maintain a list of project handover dates to easily track requirements for Health and Safety Files.
Compile Health and Safety Files using Adobe Acrobat Pro.
Identify from sub-contractors lists the sub-contractors that are required to provide information for the file and make requests for their information in good time.
Request from QSs a list of suppliers that are required to provide information for the file and make requests for their information in good time.
Create a check list for the file/CMs showing which sub-contractors have been contacted and when the information is received, list accordingly on the document checklist.
Set up the Health and Safety File with dividers, cover sheets, tabs etc.
Add to the file (electronically and hard copy) all information received including drawings, specifications, maintenance information etc.
Provide final edited files and CD’s along with handover sheets to provide receipt of documentation. Track and file handover documentation should any queries arise at a later stage.
Maintain and update the spreadsheets and files for the M & E Sub-contractors storing the information in an agreed location on the network.
Archive and file all finalised files and place into Invu for easy retrieval.
