About the Job

We have a brilliant opportunity for a bright and go-getting Office & Facilities Administrator to join our established HR team to look after our office facilities. Our HR team champions the wellbeing of our colleagues, looks after our company’s people policies, health & safety, and all things to do with colleague benefits, incentives and awards.

The Office & Facilities Administrator is a new role, and you’ll be passionate about making a difference and wowing our teams with your ability to run an efficient office. The best bits about the job will be the freedom to shape the role and think on your feet, plus the sheer variety of tasks you’ll be responsible for (we’ve described what you’ll be doing below). You’ll report to our HR Manager and work alongside our HR Administrator, and support our Facilities Director. The worst bit — because every job has those — will be that some days you might feel a bit run off your feet!

Your key responsibilities as Office & Facilities Administrator

Here’s the short list of responsibilities we promised you above:

– Being the front of house, meeting and greeting visitors and issuing security cards

– Dealing with the incoming and outgoing post, and managing the franking machine

– Raising purchase orders, ordering and managing stationery, and allocating costs

– Organising meetings, catering and equipment such as laptops and projectors

– Liaising with book, charity sweet box partners and meeting with cleaning and vending contractors

– Looking after general maintenance and housekeeping of our office, resolving and escalating issues

– Issuing car parking passes to new staff and resolving any parking issues with line managers

– Making sure you any data held is secure and complies with Data Protection legislation

To be our successful ‘office ninja’, you’ll need to:

– have a passion for office management and be skilled at keeping everything in order

– be excellent at planning and organising, with an eye for detail and accuracy

– be a superfast learner, able to think and solve problems on your feet

– be great a building and maintaining relationships across the company

– be flexible, adaptable and above all energetic in your approach

– be proactive, driven and be comfortable with minimal supervision

– have front of house experience, welcoming visitors and attending to their needs

– work within your wider team, supporting other duties or projects when needed

– have good PC skills, especially Microsoft Word, Excel and PowerPoint
