An innovative, high technology company is currently seeking a Personal Assistant to the CEO / Founder due to continued growth and organisational development. The main responsibility of this role is to develop and maintain the CEO’s diary and ensure first class administrative support.

The Role
This role is to support the Founder, who is extremely busy, and often not in the office. As his Assistant you will need to work closely with the Founder to keep him well informed of upcoming commitments and responsibilities. This will require you to be proactive and not just refer to his schedule but also work closely with the Senior Management team in order to understand future tasks that require his involvement and ensure the smooth and efficient running of the Founder’s day-to-day activities. You will also often be privy to confidential information about the company and its staff, and, as such, a very high level of trust and discretion will be expected of you.
Full and pro-active diary management to ensure productive time usage. This involves being the “gatekeeper” to ensure that the Founder’s schedule is well planned, coordinated and protected to provide valuable time for the Founder to work in between scheduled meetings.
Organisation of meetings, including minute taking as required.
Manage busy travel schedule including travel/hotel arrangement, visas and full itineraries.
Deal with incoming email, responding to routine enquiries.
Collation of prioritised to do lists, liaising with Commercial team and Senior Management as required.
Monitoring and management of expenses and general administration and operational support duties.
Document creation and tidy up (PowerPoint, Word etc).
Ensuring the Founder is prepared for meetings including all reports/IT equipment that might be required.
Travel with the Founder, in the UK and abroad, may be required for admin support at meetings.
The Person
You will need to have the following experience to be considered:
Four to five years’ experience in a relevant role at senior level
Ability to prioritise conflicting needs, often with deadline pressures
Outstanding organisation skills with excellent attention to detail
Motivated attitude, striving for excellence and willing to go above and beyond
Inquisitive and interested in seeking out solutions and offering options
Excellent communications and interpersonal skills
Able to work as part of a fast growing team
Ability to build close working relationships with key internal stakeholders as well as external clients IT competent – Outlook, Word, PowerPoint, Excel
Language skills an advantage
Normal working hours are 08:00 to 17:30 although this will need to have an element of flexibility depending on workload, events and travel.
