Role: Personal Assistant

Location: Sheffield – Hybrid

Type: Temporary

Salary: £26,000 – £28,080 per year plus holiday

Sellick Partnership are representing a well-known public sector organisation in Sheffield. They are looking for an experienced personal assistant on a temporary basis, who is able to provide support to directorate leads and manager across the organisation. This opportunity requires a professional who can provide high quality support under pressure.

Key responsibilities for the Personal Assistant are;

  • To act in a personal assistant function to the Director of Quality and the Quality Directorate Management Team
  • Maintaining systems, diary management to support them in day-to-day work
  • Deal with enquiries to the team, which includes liaising with a range of internal and external stakeholders
  • Resolve with queries where possible, take messages and re-direct calls as appropriate
  • Maintaining a confidential and accurate message system
  • Set up and maintain accurate and efficient filing systems, both electronic and paper formats
  • Responsible for the maintenance/repair and security of all office/it equipment and stock
  • Support with projects of development work including gathering and collating information
  • Organise management meetings, book rooms/venues and hospital as required
  • Prepare agendas, take, and type notes and formal minutes ensuring prompt distribution of documents
  • Order supplies, book courses and rail travel for staff. Complete stock requisitions and invoices
  • Prepare invoices for payment and query/investigate invoice issues
  • Prioritise the planning and organisation of own workload and that of others with the ability to manage various workloads at one time.
  • Adapt and respond effectively to last minute requests
  • Monitor and support contractual changes on behalf of the Director and Senior Leadership team
  • Calculate and monitor staff annual leave allowances ensuring these reflect any change to their hours and contract
  • Monitor staff sickness, whilst producing and providing data to the appropriate supervisory staff
  • Responsible for the recruitment of Admin staff
  • Process and monitor vacancies within the Quality team – completing vacancy forms, adverts, job descriptions and liaising with relevant departments.

The Ideal candidate for the Personal Assistant will have;

  • Experience in a public sector organisation
  • Be educated to GCSE Grade C or above in English and Mathematics
  • Experience of managing a busy workload
  • Experience of minute taking and agenda preparation
  • Experience of preparing and presenting reports and presentations
  • Experience of using digital communication platforms such as Microsoft Teams, Zoom and Skype
  • Previous secretarial experience
  • of stock ordering and Invoicing

The Personal Assistant will need to able to be an excellent communicator, with experience of communicating with directorate level stakeholders, to provide the organisation with a professional who is compassionate, committed, inclusive, and creative who can work off their own initiative.
