ROCMEP is a specialist contractor providing a full MEP solutions throughout the UK.
An opportunity has arisen to join our team, based in Crawley, West Sussex, providing administrative support in order to drive company success. This is a real opportunity to develop within a growing company; gaining experience across all functions within the business.
Your role will be varied and include welcoming visitors, answering telephone calls, supporting management, office teams and wider site teams.
You will be a confident communicator who is able to work under pressure, both as part of a team and independently. Previous administration experience is essential, ideally within a construction background, although training will be available for the successful candidate. Experience of MS Office Word, Excel and PowerPoint is essential.
Duties and Responsibilities:
PA duties:
* Personal Assistant to Directors
* Assistance to Senior Management team as appropriate
* Diary management
* Arrange offsite meetings and restaurant bookings, travel and accommodation
* Collate and process credit card expenses
* Document preparation, including PowerPoint Presentations
* Assistance with all ad-hoc tasks and projects as appropriate
Administrative duties:
* Answer telephone, screen and direct calls and assist with first line queries
* Receive, sort, distribute mail and deliveries, post mail
* Monitor multiple email accounts
* Greet all visitors and maintain security and H&S procedures
* Coordinate meeting rooms at HQ and London Office
* Book offsite venues and assist with marketing events
* Account management of IT Supplier
* Maintain IT assets register, to include laptops, mobile phones, clocking-in devices
* Maintain general filing systems, electronic and manual
* Maintain stationary, kitchen, first aid and cleaning stocks
* Maintain weekly fire alarm schedule
* Act as Fire Warden assistant and First Aid representative
* Sharing responsibility with other staff for general office housekeeping tasks, including ensuring office is kept tidy and emptying dishwasher
* Support colleagues with ad-hoc requirements, including producing Excel spreadsheets, Word documents and PowerPoint presentations
* Ensure the company’s H&S policy is adhered to at all times by all employees
* Ad-hoc duties as and when required, including site staff ad-hoc requirements
Person Specification:
* Administration experience is essential
* Proficient in use of Microsoft Windows, Word, Outlook, PowerPoint and Excel
* Excellent standard of written and verbal English, including spelling and grammar
* Excellent attention to detail
* Demonstrate the ability to work under pressure
* Flexible to undertake jobs which need to be done and to assist colleagues when their own workload permits
* ‘Can do’ personality
