We are currently assisting our client with the recruitment of an administrative assistant to provide reception duties and administrative support within a highly professional environment.
- Reception duties including greeting clients and other visitors to the office, answering phone calls, opening, scanning and sorting post.
- Review client documentation for new accounts to ensure these comply with the standards required of Compliance and the Money Laundering regulations prior to processing.
- Open all new client accounts and ensure these are processed efficiently and information is translated to the Investment system accurately.
- Communicate with Clients, Advisors, Introducers and Product Providers in respect of the new account procedures and provide progress reports on a regular basis.
- Communicate effectively with the Middle Office and Operation departments in London and Liverpool.
- Initiate and confirm Client, Advisor, Introducer or Provider amendments to records, both on file and to the Investment system.
- Prioritise own work and ensure administration processes and records are maintained to assist the Investment Team where appropriate and if necessary implement new routines to improve the efficiency of the office.
- Perform other general office administration duties in a timely and efficient manner as appropriate when they arise.
- Maintain accurate client files and ensure filing is completed in a timely manner.
- Be the point of contact within the office for administration duties and oversee the completion of tasks by other colleagues, whether locally or around the Group.
- Monitor the prompt despatch of contract notes and valuation statements in accordance with the internal guidelines and verify accuracy of records.
- Prepare and return the weekly attendance reports for the office and any other associated tasks.
- Act as Health & Safety Coordinator, performing the tasks associated with the role as appropriate.
- Organise travel for people in the office
- Occasional audio typing required
Knowledge:
- Good GCSEs with A-C Maths and English
- Experience of MS Office packages
- Ability to learn and embrace new technology
- An extremely high standard of accuracy and attention to detail is essential
- Must enjoy working in a small team in open plan office
- Must be a good communicator
- Candidates must have a flexible approach to working hours for task completion
- Excellent telephone manner
- Good time keeping skills and keen to learn
