Full job description

SMH Fleet Solutions Ltd

Salary: £26,000 per year

We urgently require a Workshop Administrator to start as soon as possible and join our Workshop Admin team based at our head office in Worcester. The post is initially for a 6-month contract with the possibility of extension and may even become permanent in the future.

SMH is a long-established, independently owned and growing company operating in the field of vehicle logistics and fleet management. We are a market leader in our field and proud of our reputation for excellent service.

This is an admin role with so much more to offer; there’s never a dull moment in our Workshop Admin team! In this role, you will work closely with our Customer Care and Workshop teams on specific leasing contracts, acting as the intermediary in making sure that car repairs are completed by the Workshop team and customer are kept up-to-date and deadlines are met.

This is a fast-paced role and one which will call for you to work on many different fronts at the same time. You will need clear communication skills to make sure that instructions are clear, specific and accurate. In addition, you will need to be assertive and confident in communicating with internal departments and realistic about timescales.

The team here is great mix of people and is supportive, friendly and fun to be part of. If you enjoy the skills needed to thrive in administration but need something more involved, then this role is a real alternative; you will be in and out of the workshop and certainly not tied to your desk. A challenging role which calls for excellent organisation skills, tenacity and determination but a real breath of fresh air compared to more typical admin roles.

In particular, you will:
Ensure all administration is effectively prioritised with regard to outstanding repairs on client’s vehicles, whilst operating within contractual KPIs.
Monitor Bodyshop volumes and review backlogs of work, reporting any issues.
Liaise daily with all departments in respect of vehicles being worked on that are required for delivery within the agreed time scale.
Deal with the daily management of urgent jobs ensuring the vehicles are ready for delivery the day before they are due to leave the site, overcoming any obstacles through liaison with appropriate areas within the business.
Process Jobcards for work to be carried out in the workshop, including Warranty work.
Ensure the smooth flow of vehicles and supporting paperwork in and out of the workshop.
Liaise with suppliers (i.e. Mobile Windscreens etc.) to ensure the standard of work carried out by them meets requirements.
Maintain a sound working relationship with all departments.

Although full training will be provided on the specifics of the role, we are looking for applications from experienced Administrators who would relish the challenge of this post.
