Our client is currently recruiting a Senior Executive Assistant to provide pro-active secretarial and administrative support to the Director team and manage the existing administrative support team in their Swansea office.
The client is looking for a candidate that can be considered to be high calibre, with the skills, knowledge and commitment to meet the demands of the business, and the successful candidate will have EA/PA experience, preferably in a professional practice.
The successful candidate will be organized, with great attention to detail, upbeat, positive and professional with great MS Office skills. The successful candidate will have experience of managing a team and possess a can-do attitude, be proactive, flexible, adaptable and willing but also discreet, confident and diplomatic.
Main responsibilities:
• Pro – actively assist the Directors in their day to day activities
• Manage the Directors’ diaries, to include the set up of meetings and appointments
• Work closely with the Director team to ensure adequate executive support is provided to meet their needs and those of the team
• Co-ordinate the Administration team, providing direction on tasks and workload whilst working closely with other Senior EA’s
• Act as line manager for the Executive Assistants & Administrative staff
• Attend and minute internal and external meetings, as and when required
• Arrange and co-ordinate internal and external events, as required and liaising with the marketing team
• Compilation of high quality documentation, such as client letters, reports, spread sheets, and PowerPoint presentations in line with brand guidelines
• Copy and Audio Typing
• All general administration duties, photocopying, faxing, binding, shredding etc.
• Provide Reception cover when necessary
• Co-ordination & booking of travel and accommodation arrangements
• Assist with general practice administration
Academic requirements
• Min 5 GCSE’s (grade C or above) including English & Maths
• RSA II keyboard/typing
