Regional Estate Manager
Job Purpose:
The role of the Regional Estate Manager is to plan, co-ordinate and implement the Property Asset Management plan and property acquisitions according to deadlines and within budget. The role requires expertise in both estate management of the existing portfolio of practices and acquisition of greenfield sites for new practices. This includes instructing and co-ordinating the efforts of team members and third-parties in the region in order to deliver the objectives according to plan.
Key Accountabilities:
PROPERTY
Estates Management
– Day to Day Management of property portfolio
– Undertaking Rent Reviews, Licenses, Assignments, Lease renewals/variations, Management of Service Charges
– Surrender of Leases & Dilapidations
– Annual rental and service charge budgets for region
Greenfield site acquisitions
– Site identification
– Deal negotiation
– Support and instruct legal team through lease negotiation
– Oversee planning applications where relevant
– Handover to Construction Project Managers
FINANCIAL
– Ensure acquisitions, lease terms, rents and charges are negotiated at best market value
– Ensure the property asset management plan (including onerous properties) is completed on time and within budget
– To actively look for cost reduction and enhancement opportunities
PROCESSES
– To effectively manage time and priorities
– To comply with and achieve deadlines set by the business
CUSTOMER
– To provide professional assistance to internal departments
– Liaise with 3rd parties (solicitors, surveyors, valuers, consultants, landlords, agents, appropriate authorities etc.) as required
– Attend regular Operational and Acquisition Meetings
PEOPLE
– Ensure Operations, Acquisitions, Facilities, Projects, Finance, H&S, Clinical and other internal departments are fully aware of activity, work plans etc.
– In particular, a close working relationship with Operations team is essential.
– Work closely with internal and external solicitors to ensure appropriate lease documentation is agreed.
– Raise the profile of the Estates Department within the business by consistently achieving the highest standards and aiming to exceed expectations.
– Regular liaison with Landlords to ensure they are kept up to date with works affecting their properties and obtaining the necessary consents.
– Build good working relationships with Regional Project Managers and Regional Helpdesk Administrators to share ideas and ensure best practice is achieved throughout the department

SKILLS & EXPERIENCE
– Proven experience of negotiations, valuations, and lease management
– Strong business influencing skills – able to communicate at all levels adapting style appropriate to audience
– Understanding of lease terms, budget management, H&S and legal aspects of property occupation
– Excellent verbal and written skills – with the ability to write business reports and proposals
– RICS or equivalent qualification (preferable)
CIRCUMSTANCES
– Field/region based
– Able to commute within UK to cover the allocated region (estimated 1-2 days per week)
– Flexible approach to work, willing to work extended hours when required for the business
