JOB TITLE: NIGHT MANAGER
LOCATION: FRONT DESK
RESPONSIBLE TO: FRONT OFFICE MANAGER
RESPONSIBLE FOR: ALL NIGHT PERSONNEL IN ALL AREAS
SCOPE/GENERAL PURPOSE: ASSUMING OVERALL RESPONSIBILITY FRO THE OPERATION OF THE HOTEL FROM THE DUTY MANAGER BETWEEN 20.00 AND 08.00

Main Responsibilities:
1. To take over from the daytime duty manager, counting float and familiarising self with the days business as noted in the DM’s book and to assume responsibility for the night operation of the hotel.
1. To supervise the Night Porter, with particular attention to guest messages. Information, maintenance, housekeeping, security, car parking, luggage and function boards with emphasis on fire panel checks, regular floor walks and that the fire panel is manned at all times.
1. to supervise reception, both day and night with particular attention to cash handling, wake up calls, customer care and to group requirements, e.g. breakfast, wake-up calls and luggage.
1. To supervise room service with attention to accuracy and efficiency of orders.
1. To supervise switchboard, with attention to answering calls, placing calls, taking messages and wake-up calls.
1. To ensure full co-operations between all departments at all times.
1. To ensure the front Desk is manned at all times during the night and to carry out Night Reception procedures.
1. To be wholly responsible for all money handled.
1. To ensure regular floor walks are carried out and to note any requirements or problems in the DM’s book.
1. Report all occurrences in the DM’s book and where necessary, ensure jobs requiring attention are followed through.
1. To ensure all hotel security is maximised at night by checking all doors are locked that should be, fire appliance tags are secure and that the fire panel is monitored. (Especially on the 04.00 data check) Regular checks are also needed on all floors, including the basement area and the boilers.
1. Top train Front Office based night staff. Also to identify specific training needs within departments operating at night and to assist in training in liaison with the relevant Head of Department if necessary.
1. To check the room audit, ensuring correct revenue is received, where necessary, amending the accounts.
1. To deal with any customer complaints, requirements and requests promptly and efficiently.
1. To familiarise yourself with the night times switchboard operation and to carry out those duties accordingly.
1. To take reservations as and when necessary, ensuring full awareness of the hotels status at all times. To ensure maximum occupancy of the hotel wherever possible.
1. To deal with book outs in a positive and professional manner
Other Responsibilities:
1. To be fully aware of company rules as stated in the handbook.
1. To ensure all departmental keys are signed in and out by staff
1. To ensure staff taxis are ordered (only after 01.00) and the necessary paperwork is completed.
1. Whenever possible, to promote and sell other facilities offered by the hotel. E.g. leisure club, restaurant.
1. To ensure a thorough handover to the early shift leader on reception.
1. Check all deliveries arriving throughout the night and make checks on the loading bay for cleanliness and security.
1. To check that the night cleaners for the hotel and leisure club are fulfilling all their tasks and that general cleanliness is maintained.
Fire Duties:
1. To ensure that you are fully conversant with fire procedures and the fire panel.
1. When pre-alarm sounds, ensure that you are stationed by the fire panel and that a member of staff is directed to the alarmed area.
1. To ensure silencing of pre0alarm takes place within four minutes or prepare for evacuation.
1. In case of evacuation, organise staff and guests, call fire brigade and liase with chief fire officer.
