Lead Receptionist, Reception, Secretarial, Office Secretary Team

We are seeking a permanent Lead Receptionist for our modern Liverpool office.
The role of our business area (Secretarial and Operations) is to provide central administration support services to all business areas, employees, and Partners at Barnett Waddingham. In order to provide these services our network of teams include various roles, with all positions united in delivery of professional support services, aligning with the growth and success of firmwide business objectives. The position of Lead Receptionist will provide Front of House, meeting management, reception duties along with secretarial administration support for the office.
Responsibilities
Reception duties include:
- Meeting and greeting clients, suppliers and employees from other offices.
- Booking, setting up and managing meeting rooms to a consistent and high standard.
- Organising catering and refreshments for internal and external meetings and events.
- Assisting with setting up lunches, meeting room refreshments as required.
- Liaison as needed with other internal teams to ensure all client and visitor needs are met.
- Audit of catering firms regularly and establish new caterers if required.
- Claiming and processing Front of House service requests from our Secretarial TickIT system.
- Deputise for Office Management team when needed.
- Supervise and train receptionist.
- Regular audit of passes (visitor, staff, contractor).
- Monitoring and ordering of supplies (e.g. office groceries, fruit, FOH, janitorial supplies).
- Supporting with any ad hoc duties relevant to the office location.
- Support managerial team with office and facilities routine tasks as needed.
- Working with the BAL and Front of House lead assisting with firmwide administration to ensure the smooth running of all Front of House services.
- Work with all local Front of House teams to ensure seamless service.
- Manage reception cover for absences and out of hour events.
- Manage daily office checklist and ensure Front of House manual is regularly maintained.
- Support operational projects and Front of House initiatives as required.
- Any other reasonable task supporting business area activities as advised from time-to-time.

Experience/Qualifications
- Previous reception, secretarial, office administration or customer service experience
- Confident skills in Microsoft Office applications
- Good knowledge of database entry skills
- Maths and English GCSE at level C/4 or above, or equivalent
- Good verbal and written communication skills
- Ability to demonstrate successful working relationships within a team
- Professional approach in all forms of communication (written and oral)
- Conscientious ensuring that work is completed to a good standard and within specified timescales.
- Adaptable and responsive to changing business and team needs
- Ability to remain calm under pressure.
- Professional approach; polite and courteous to clients and staff
