Job Purpose
The Sales Support Team manages tenders and proposals and also is responsible for completion of approved supplier forms. This includes all of the procurements arising through OJEU and other tendering routes, as well as strategic proposals to existing and new clients.
Reporting to the Sales Support Manager, the Bid Administrator will work closely with the Sales Team, Operational Managers and the wider organisation to produce excellent quality PQQ’s, complete approved supplier forms and support development of complex tender documents. This role will be based in West London.
This role is very demanding, involves working to tight timescales and multi-tasking to ensure that all submissions are managed to a high quality standard. The role is very hands on and producing written contents for PPQ’s, administrative tasks associated with the function of the team, and completion of approved supplier forms.
Responsibilities
• Monitoring of relevant opportunity notification websites and working with internal sales team to identify contracts to bid for and ensuring these are communicated to relevant personnel within the company
• Keep company information up to date on customer procurement portals
• Update and maintain the CRM/tender tracking system ensuring that the sales pipeline information is up to date
• Produce sales reports from the CRM/tender tracking system
• Supporting the sales team on a day to day basis to help the team to meet tight deadlines
• Completing PQQs, EoI’s and general information sections on tenders using bid library, adhering to deadlines
• Assist Sales Support Manager in creating high quality bid responses, proposals and presentations
• Assisting Sales Support Manager with bid publication and submission
• Support the production, maintenance and cataloguing of library information and bid collateral to be used in tender documents
• Assisting with following up on the outcome of tenders
• Monitoring sales inbox and communicating enquiries to relevant personnel within the company
Candidate Requirements
• Previous experience in a related role is highly desirable
• Educated to degree level ideally with a degree in Journalism, Law, Marketing or English
• Good IT skills particularly in Microsoft Outlook, Word, PowerPoint and Excel.
• Ability to work with Microsoft Visio, Publisher and Adobe InDesign is highly desirable
• Some experience of MS Dynamic CRM software is preferable but not essential
• Excellent communication skills
• Ability to produce large documents to a high standard including formatting, proof reading, and ensuring consistency in style.
• Be able to communicate fluently and confidently in a professional way
