Job Title: Housing and Property Service Administrator

Job Summary

To provide an effective and efficient service dealing with general housing and maintenance enquires telephone calls, and being a point of contact to visitors and contractors to the office. To ensure that maintenance and repair requests are prioritised and dealt with according to policy and procedure. To ensure the timely and accurate keeping of records, logging information and updating the Housing Management systems

Main Duties & Responsibilities

* Deliver excellent customer service, at all times
* Effectively deal with all enquiries (repairs related & other) in a professional and courteous manner, in person, on the telephone or via e-mail
* Take and relay messages efficiently and provide appropriate information to caller
*Assisting with the planning and monitoring of day to day repairs helping to organising maintenance staff diaries
*Responding to repairs calls and dealing with customers on the phone and email
*Maintenance of all database records regarding live, pending and closed jobs
*Liaising with contractors and staff to assist in resolving basic queries
*Assisting with invoicing and payment processes, assigning job number and PO numbers to invoices
*Completing customer satisfaction surveys and maintaining records of customer satisfaction with work completed and services provided in this area.
*General Administration duties including filling, faxing and scanning
*To maintain a register of approved suppliers and contractors
*To assist in the monitoring and maintenance of service records
*To assist with the day to day smooth running of the service, by providing central support involving
– Assisting with meetings
– Answering telephones, taking messages and passing on and recording incoming information effectively.
– Dealing and distribution of mail, checking stationery supplies, greeting visitors, responding to general enquiries and other such reasonable general office tasks as may be required.
*To ensure that information storage complies with the provisions of Data Protection legislation.
* Responsible for own personal learning and development/CPD and supporting the performance and learning and development/CPD of team in line with service policies and procedures.
*Promote a diverse and inclusive workforce which is free from any discriminatory practice.
*Work within designated compliance and quality assurance frameworks as required by the service (SP QAF, CQC, CSE, IiP etc.)
*Represent the service in a professional and confidential manner building positive relationships with external stakeholders.
*Adhere with section 7 of the Health and Safety at Work Act to take reasonable care of own health and safety and that of others who may be affected by their acts and omissions
*Any other duties appropriate to this post, as necessary or as requested

Hours: 9am- 5pm Monday to Friday

Salary is between £26,000depending on skills and experience
