Salary: £26,000per year.68 – £10,016.09 (pro rata £18,977.37 – £20,032.18
Our well established client is currently seeking a part-time Administration Assistant to join their friendly and professional team. The successful candidate will be responsible for assisting with day to day HR administration activities in a busy department.
The main purpose of the role is to provide administrative support to the HR team over a full range of administrative functions. The Administration Assistant must co-ordinate and prioritise own workload. Day to day supervision is minimal, routine tasks are completely unsupervised.
Main responsibilities:
• Diary management when required
• Filing of documents and files as requested
• Printing papers ahead of meetings
• Photocopying and scanning
• Book meeting rooms, arrange catering and accommodation
• Distribute e-mail enquiries from internal and external individuals to relevant members of the HR Department
• Assist with typing letters and other documents
• Answering calls, taking messages and logging calls
• Open, date stamp and distribute post within the department
• Upload HR information onto the intranet
• Project work in relation to administrative processes
• Undertake routine clerical tasks when requested
• Maintain and monitor stationery supplies
• Ordering stationery, printed material and other items using the P2P system and monitoring spend
• Coding and arranging authorisation for invoices to bought ledger, answering any queries
• Processing P2P and invoices and authorising where appropriate
• Occasional minute taking at Disciplinary / Grievance hearings and other ad hoc meetings
• Assist in the administration of Subject Access Requests (SAR’s)
• Occasional proofreading
• Any other duties which may be required
The ideal candidate will have the following attributes:
• Excellent communication skills
• An eye for detail and accuracy
• GCSE or equivalent in English and Maths
• Excellent computer skills including Microsoft and Google
• Experience of minute taking
• Proven administration experience within a HR department
• Experience in audio and copy typing (40/50 wpm)
• Ability to work on own initiative
