The scope of this role is to manage the delivery of each of our orders, from start to finish; in the most effective manner by embracing and achieving high standards of quality. To do so, the Contracts Manager needs to display strong leadership, problem-solving, prioritisation and organisational skills; as well as displaying high levels of accountability and caring. It is critical for our growth strategy to succeed, that our Contract Manager maximises financial and operational performance and minimises risk without compromising our quality standards. It is vital to have an analytical approach/set of analytical skills, that allows this manager not only to develop processes to underpin the strategies, but to forecast potential resources required to reach the expansion in the most effective and efficient manner.

We count on the Contract Manager to resolve any order-related issues that come up, whether internally or externally, and we require an individual who can liaise and effectively communicate with our other departments and support other business functions, including customer care, sales, installation, marketing and finance.

This role also ensures that the company, stakeholders and therefore; every order is delivered by complying with health and safety, and any other legal regulations within the industry.

It can be summarized that our Contracts Manager is responsible for the process of systematically and efficiently managing orders right after its administrative creation to its successful execution. In order to achieve this, the Contracts manager needs to constantly analyse, create, change and adapt processes and procedures to ensure the systems support the department objectives and enhance performance.

Key Tasks:

– Plan every site job/visit to ensure they are programmed to a level of detail necessary for the team to deliver effectively without delays.

– Ensure every site job is carried out to the highest level of quality to provide the best customer experience to every customer.

– Financial monitoring and cost control to ensure efficient running of the department. Responsible for forecasting number of teams and surveyors required to hit Ops/Installation target; as well as supporting the recruitment process.

– Ensuring Health and Safety, and Quality compliance is maintained. As well, as ensuring that every site team compliance with Company policies and procedures

– Ensure each member of installation team are trained and capable of installing at the required standards, as well as keeping all record of training, performance and meetings up to date.

– Ensuring all members of the department have any required equipment and adequate training, to enable them to complete their tasks safely and comply with all legal requirements.

– Ensure procurement and reconciliation of materials is carried out effectively to prevent delays.

– Organise and attend meetings with the site teams to monitor performance, ensure quality, strengthen communication and relationships.

– Liaise with the Technical Lead to organise quality visits, discuss any technical issues/concerns, and team performances. As well, as producing and leading plan of actions to improve the overall performance of the department.

– Produce and analyse progress reports, costs reports, forecasts and forward planning of the resources needed to achieve targets and organizational goals.

– Ensure correct engagement of subcontractors and checking every tender by confirming and authorising weekly payments.

– Implement performance management process across the department, as well as keeping systems up to date (e.g. Filemaker)

– Liaise with the Office Manager, Finance manager and any other relevant member of the team to ensure every order is delivered to the highest standards of customer care.

– Manage subcontractors, ensuring all subcontractors follow Greenspace’s procedures and processes.

– Oversee and ensure that HSE-related documents are kept up to date, ensuring that audits and reports are produced, liaising with the necessary parties to achieve this task.
