Salary: £26,000 per year

Our client is one of the UK’s leading specialist contractors, renowned for providing technically advanced and cost-effective solutions across the energy, infrastructure, water efficiency, ground source heat pumps and geo-thermal energy sectors.

Due to the recent award of several significant framework contracts, and a dedication to continued profitable, ambitious, and long-term growth across the UK, our client is now seeking to appoint a Project – Site Administration Assistant.

The main purposes of this role will be assisting with the day-to-day activity of key contracts, including supporting the project team by scheduling appointments and allocating work to Engineers, liaising with customers, conducting mail merges, stock management and project – site reporting. The successful candidate will need to be energetic, customer focused, possess exceptional customer service skills, a can-do attitude, a desire to succeed and the ability to multi-task. The position is office based with the occasional visits on site from time to time.

The Role

* Conducting outbound calls, reaching out to customers to schedule project appointments

* Answering inbound calls and emails from customers to request project appointments

* Scheduling and clustering appointments by postcode

* Conducting mail merges and arranging for letters to be sent to customers

* Managing the allocation of stock to Installers, Technicians and Engineers

* Counting and recording stock levels

* Ordering uniforms, ID badges, PPE and equipment for Engineers

* Support with project reporting and collating Engineers daily work lists on Excel

* Support with cleansing address data on Excel

* Ensure understanding of the company’s quality and environmental management systems, and work according to their requirements

* Ensure compliance with any environmental legislation that is applicable to the role, along with ensuring all the company’s activities are GDPR compliant

The Person

* Customer service and telephone call handling is essential

* Ability to work at speed precisely

* Excellent skills with MS Office: Word, Excel, PowerPoint, Outlook etc

* Work management, multi-tasking and prioritising skills

* Verbal and written communication skills

* Flexibility, reliability and teamwork

* A good level of office administration experience

* You must have a driving license and access to your own vehicle
