Contract: 12 Months
Must be available to work every day – 4 hours per day: 10am to 2pm.
Our client is looking for a competent administrator to provide and co-ordinate the provision of administrative support to a team or department, undertaking more specialised tasks and ad hoc project work which require an understanding of the activity of the team, and working under minimal supervision. Duties include:
• Plan, organise and prioritise administrative support workload for the team on a daily / weekly basis, ensuring work is evenly allocated across support staff and adequate cover is available to meet the requirements of the team.
• Ensure the provision of comprehensive administrative support for one or more managers, maintaining their diary and resolving routine issues on the manager’s behalf, in order to free up the manager’s time to undertake managerial responsibilities.
• Plan, organise and prioritise own work on a daily basis to meet deadlines and plan ahead to meet upcoming / cyclical deadlines.
• Act as a first point of contact for both internal and external people wishing to contact the manager (or the team) ensuring queries are dealt with effectively.
• Train and induct new staff and provide guidance / advice about work practices and departmental procedures to support their development.
• Co-ordinate arrangements for internal and external meetings and conferences, co-ordinating travel arrangements for attendees, to meet general requirements and cost constraints.
• Produce documents (including presentations and spreadsheets), working from the ‘bare bones’ to produce a finished document to company / departmental standards.
• Participate in, and sometimes lead, ad hoc projects initiated by the manager, to assist the effectiveness of the team.
• Process financial / administrative information for the team (e.g., invoices, expense claims, track team budget) checking and validating information for completeness and investigating errors / discrepancies.
• Establish and maintain office procedures and systems (e.g., filing or record-keeping systems, databases) to support team processes.
Person Specification:
• Previous experience in relevant role
• Comprehensive knowledge of departmental policies and procedures (gained through extensive experience of working in an office environment).
• Demonstrated planning skills
• Ability to co-ordinate the activities of others
• Ability to communicate effectively verbally and in writing.
• Project management skills.
• Ability to take a wider perspective when making decisions.
• May have qualification at ‘higher education’ level
• Typically has 5 years or more previous experience in relevant senior secretarial or administrative role.
