Interim Visitor Services Officer – 3 Months

My key client, a highly established charity firm based in Central London is currently seeking a Visitor Services Officer on an interim basis.

The candidate will report directly into the Senior HR Advisor.

Key Responsibilities of the Visitor Services Officer:

Take responsibility for the management of the Visitor Services Area
Ensure a professional, friendly and first class service is proveided to all visitors and callers
Provide ad-hoc administrative support to the HR team i.e. filing, training, health and safety etc
Line manage a junior member of the visitor team
Resolve day-to-day operational problems
Liaise with relevant departments to provide solutions to IT
To train staff to operate the switchboard and in reception duties
Ensure that the reception area is maintained
Act as fire warden
To take responsibility for managing and monitoring of the organisation’s communications inbox
Maintain and review the room booking process
To act as the main point of contact for external hiring of rooms
Manage the invoicing process with relation to external bookings
Train staff on the online booking systemSkills & Experience required

Exposure in dealing with the public both face-to-face and over the phone
The ability to prioritise work in a high volume environment.
A strong customer focused attitude.
Excellent written and oral communication skills.
Advanced IT skills in the microsoft package
Ability to work off your own initiative
Aware of health and safety risks as well as security risks

The candidate must be immediately avaiolable as the role is looking to start ASAP. The candidate must be driven and proactive, experience in the charitable sector would be advantageous. The ideal candidate will have line managed at least one member of staff.
