Job Title: Customer Services Centre Administrator
Location: Cardiff Gate
Salary: £26,000per year
Hours: 9am – 5pm – 6 week assignment

Job Purpose:

To provide a comprehensive, professional and confidential support service to the Customer Services Centre, through the provision of efficient and effective secretarial, administrative and project administration duties, while working flexibly and collaboratively to support the wider team.

Main duties and responsibilities

Financial Administration Responsibilities

Book travel and accommodation as required for the Customer Service Centre Team ensuring that activities are in line with the Expenses Policy and Procedure. Timely handling and processing of invoices through our financial system, eBis, ensuring that correct budget and account codes are included. Raise purchase orders for approval by the Head of Customer Services as required. Administer the petty cash account.

Specific Role Duties

Ensure a high quality, effective and professional administration service is provided for the Customer Service Team. Develop knowledge of the overall work of the Customer Services Team in order to deal with queries and correspondence that come through on email and phone calls, delivering a high level of customer service.
Assist in the planning and preparation of meetings and events.
Prepare and distribute meeting agendas and papers, taking notes and minutes of meetings and updating relevant action plans accordingly.
Organise and support the Customer Services Centre audit activities ensuring all identified trends and issues are highlighted, reporting on findings and supporting service improvements as required. Provide administrative support to the Customer relations and complaint handling processes. Acknowledge feedback and complaints and send responses, ensuring that all feedback and complaints are responded to within agreed SLA’s and responses are in line with our Customer Service Standards
Organise department visitors, prepare itineraries, catering, delivering a high level of customer service.
Provide project support to the Customer Service Centre Management team including room booking, recording minutes, notes and maintenance of risk registers
Monitor stationery levels and order stationery and other items and equipment as required.
Arrange procurement, repair and stock control of headsets and associated hardware
Coordinate and administer room bookings as required.
Liaise with other local administration support staff to enable an appropriate peer support network to exist
Support Customer Service Management team with an procurement of occupational health and health and safety related equipment
