Main purpose of the role
- To lead on all Human Resources aspects of the business
- To support the Assistant Director with policy development & review
- To support the Assistant Director to manage the company website and customer portals
- To support the Accounts manager with invoicing
- To lead on internal governance systems
- General office management
Main duties
Human Resources
– Maintain the annual training matrix and liaise with the assistant director to plan, source and book training.
– Support the assistant director with appraisals and reviews
– Take the lead role in liaising with purchased HR services and where necessary be involved in informal investigations, disciplinary procedures etc ensuring statutory requirements and HR advice are met.
– Take the lead in staff recruitment ensuring all statutory guidance regarding contracts and right to work checks are applied. Ensure all inductions and personnel records are maintained.
– Maintain accurate holiday and sickness absence records and support the Assistant Director to manage absences.
– Organise annual occupational health assessments from the purchased services.
– Review human resource policies and procedures on a planned basis
– Be a point of contact for all staff seeking advice or well being support
Policy development and review
- Support the Assistant Director to review internal policy and procedures taking advice from the purchased HR services as appropriate
- Support with the development of new policies as required
Company website and customer portals
- Update the customer accessible section of the website on a monthly basis to ensure all relevant information is correct
- Liaise with the assistant director to provide a regular news item on the company website
- Update the relevant customer portals to ensure they have accurate information required.
Support the Accounts Manager
- Support the Accounts Manager to undertake invoicing on Sage as required to ensure customers are invoiced as soon as possible
- Support the Accounts Manager to obtain purchase orders to support invoicing
- Support the Accounts Manager to maintain accurate invoicing spreadsheets
Internal Governance systems
- Oversee the internal auditing processes, undertaking specific audits where relevant and monitoring the implementation of action plans
- Drive the completion of the annual Avetta accreditation process to ensure we remain compliant
- Support the Service Manager and Assistant Director to maintain contractor records of training, insurance and inductions
- Support the Operations Manager to maintain customer compliance portals
- Support with the development of the corporate action plan and monitoring progress
- Maintain complaints, accident and incident records, support investigation where appropriate and monitor signing off of actions
General office management
- Manage office emails
- Oversee office, kitchen and cleaning supplies
- Undertake general admin duties
