JOB TITLE: Office Administrator
Based in Hull – COMMUTABLE FROM: Anlaby,Brough, Cottingham, Hessle, Beverley, Willerby
SALARY AND BENEFITS:
£18,000-£20,000 dependent on experience, plus 5 % pension contribution plus 25 days holiday plus stats.
8.30am – 5pm Monday – Friday
COMPANY INFORMATION: Our client is a Hull based Engineering Consultancy that specialise in Structural Engineering, Civil Engineering and Project Management. Currently they supply a number of different industries that include; Construction, Water, Bridges, Commercial/ retail, Public Sector and the Private sector.
YOU MUST HAVE THE FOLLOWING:
* Excellent MS Office Skills
* Must have strong administration skills
* Must have experience working in an office / admin environment
* Excellent Attention to detail and be able to work unsupervised
* Must have a good telephone manner
* Must be flexible to carry out admin duties for different departments and directors
* Must be well organised and professional
ROLE INFORMATION:
An Office Administrator is responsible for ensuring the smooth running of the administrative functions of an office ensuring co-operation and co-ordination between own and other offices and departments.
Project Accountabilities
The appropriate level of expertise is required in order that the Job / Project Accountabilities listed below can be carried out to the necessary standards.
* Act as PA to the Directors where appropriate.
* Act as MCA office communications co-ordinator.
* Provide alternative secretarial support to Engineers within the Office when necessary.
* Provide support when necessary collating information and preparing submission documents within the Office.
* Deal with routine correspondence i.e. typing of letters and emails.
* Answer telephones and deal with relevant queries.
* Co-ordinate and keep up-to-date department’s diary (and be aware of other diaries as necessary).
* Arrange and co-ordinate meetings, ensure required facilities & equipment are available.
* Check and deal with Director’s emails as required when absent from the office e.g. holiday, meetings.
* Make travel arrangements for department if required (including car hire).
* Ensure new starters have relevant equipment, i.e. computer, telephone, login etc.
* Keep reception updated regarding telephone changes.
* Monitor holidays taken by staff for the Director as requested.
