Purpose of the Job
To lead the Area administrative function to provide effective support for the area management and site teams, in accordance with Quality Management System.
Responsibilities
Technical Responsibilities
Lead the area office administrative function to be efficient, coordinated and to meet
business goals
Support the Area Manager as required including attending monthly meetings, preparing
reports, etc.
Support the Site teams to ensure uniformity and consistency across the area in
accordance with the QMS
Co-ordinate the maintenance of accurate data on Work Manager system and report on
performance of administrative function across the Area
Lead the team to provide back-up support to Help Desk in the event of a failure of the
Help Desk IMS system
Carry out regular Health & Safety office audits across the Area and assist audit teams
with Area Office Audits and Sustainability Audits as appropriate
Support the security vetting process within approved delegation
Lead the admin team to deal with any queries professionally, demonstrating a culture of
customer service
Be a pro-active member of the Regional Administration Compliance Team to develop
administrative procedures
Comply with all Health and Safety and Sustainability Policies and Procedures pertaining
to your job role
Identify opportunities to reduce carbon footprint and utility consumption across the Area
Any other duties commensurate with this position.
People Responsibilities
Provide line management for Area Administrators
Build and maintain effective working relationships with colleagues, including Area
Managers, Site Managers and Help Desk Agents etc
Develop and maintain an excellent working relationship with client personnel involved
directly or indirectly with the contract
Liaise with Supply Chain colleagues, as required
Comply with the organisation’s Equality and Diversity policy
Consistently demonstrate the Company Values
Commercial Responsibilities
Monitor and report on behalf of the Area Manager stationery, catering supplies and
personal protective equipment orders across the area
Observe company policies to provide best value for money and good commercial
practice
Adhere to Security and Fraud prevention systems and processes at all times
Skills & Experience Profile
Demonstrable experience of team leader responsibility or management
in an office environment
An excellent administrator proven experience in Construction /Property Maintenance or related field
Experience of working within strict ISO 9000 Policies and Practices
Good understanding of administrative practices
Knowledge and experience of working within strict ISO policies and processes
Excellent communication skills
Proven experience of scheduling teams via diary management
Proven line management experience
of operating in an MOD environment
Experience of operating in a military environment
Experienced in managing a diverse range of work with competing deadlines and demands on resources
Training & Qualifications
Educated to NVQ Level 3 standard or equivalent experience
Use of Work Manager applications
