We are looking for a Facilities & H&S Administrator for a 6 month fixed term contract

Location: Dunstable location

Salary: £26,000per yearpro rata

Days/Hours of Work: Mon-Fri 830am – 5pm (37.5 hrs per week)

Team Objective
The role of the Facilities & H&S Administrator is to ensure that all facilities and H&S administrative support tasks for the facilities and H&S department are completed correctly and in a timely fashion to ensure exceptional service to all stakeholders.

Job Purpose

To help support and manage the facilities and H&S administrative requirements for the site, as well as support in basic facilities and H&S duties. Ensuring that there is consistency across all areas by operating great administration support within the departments to comply with all legal and compliance requirements.

You will be responsible for scheduling due dates for testing, insurance renewals, contract renewals, PPM maintenance and scheduling, creating timetables for due dates etc

Internal Working Relationships:

·Facilities & Procurement Manager – Daily Reporting / management /Daily Tasking

· Facilities Manager/Coordinator – Daily Administration Assistance / Daily Facilities tasks

·H&S Manager – Daily Reporting / management /Daily Tasking

·Stakeholders – all internal staff and site visitors that use site facilities

External Working Relationships:

· Maintenance Contractors

Key Duties

The core function and scope of the Facilities H&S Administrator is to support the Facilities and H&S Department with administration support to ensure legal and essential requirements are carried out and scheduled correctly eg PAT testing, insurance renewal, ICR testing etc

· Assist in carrying Facilities and H&S as required by the Facilities & Procurement Manager and the H&S Manager

· maintaining schedules and timetables of facilities and H&S requirements

· liaising with other sites to ensure they are working to the scheduled dates

· liasing with/organising external contractors for their services

· Ensure all stakeholders are supported with the offering of efficient and professional administrative facilities and H&S practices

· Work to H&S compliance at all times assisting the H&S Manager where required eg inductions, reporting, fire safety checks etc (training and support will be given)

· Ensure Covid-19 precautions and regulations are adhered to and all admin records maintained

· Support in the maintenance of the incident report register

· Assist with external contractors and suppliers eg cleaners, security, engineers etc ensuring all of their details are maintained on the facilities admin schedule

· Any other duties as directed by the Facilities & Procurement Manager or H&S Manager

· Be available to work on occasional weekend and evenings taking time of in lieu if required (this is not very often at all)

Requirements:

Essential:

· 1 year plus of experience in a similar Facilities H&S admin role

· Ability to understand priority of workload and organise effectively and efficiently with scheduling and organisational skills

· Proficient in computing – Microsoft Office Excel, Word and Diary Management

· Good Communication skills both verbal and written

· A team player

· Organised, methodical and proactive

·Happy to get stuck in and help out

· GCSEs Maths and English

Desirable:

· a H&S qualification
