Strong Administrator wanting to become a PA / Assistant to Senior PA

My London based client is currently looking to appoint a new Administrator or Assistant to the Assistant. You will be working very closely to the Senior PA who will guide and mentor you through this role. Supporting her to support the CEO of the business is a crucial role within the business. The role is a full time permanent position, based in their lovely serviced offices in Bristol which is close to a mainland station,

POSITION

This is an excellent opportunity for someone who is looking to become a Private PA but doesn’t know where to start! Key for this role is having strong administration skills and the right attitude, being highly professional and organised as well as being discreet as you will be responsible for organising the CEO’s personal matters.

Initially, you will be assisting the Senior PA with overflow PA work. The purpose of this is to learn the CEO’s preferences as well as gain his trust and if you are new the world of being a PA then you will have the best on the job training you can get. You will not be doing mundane filing for every minute of the day but actual PA work just with the supervision of the Senior PA until there is confidence that you are capable of taking on more responsibility yourself.

There is nothing out of the ordinary that is required in the role – he hasn’t got a property portfolio, no private jet or no interest in art so if you’re looking for a bit of an interesting variety this won’t be right for you! However, you can expect to do for him what you would do for yourself at home. Organise car and house insurance, liaising with estate agents, change gas suppliers, coordinate family trips and travel, move house etc. As this role is to provide support on the personal side, you won’t be using all of Microsoft Packages just Word and Outlook.

As your responsibilities grow you may be required to travel a bit to their other offices, so flexibility regarding this is needed.

Working Monday to Friday 09:00-17:30 hours.

CEO

The CEO has been described as a gentleman, he is kind, friendly, passionate, and very open and what is quite uncommon at this level – he appreciates his staff. He is an entrepreneur and has a very busy and hectic personal life. The person who supports him, needs to appreciate that he is priority, he leads a complex life and therefore there is always something going on. You will also be in contact with his family and may have to do tasks and projects for them too.

He is not needy by any means, unlike most Private PA positional you’ll find yourself working all the hours god sends! Most if not all of the work he expects you to do for him will be completed during working hours. He very rarely calls of an evening or weekend as he believes that this is your time and will only call if it’s an emergency. His only flaw would be that he is very indecisive, he will not make a decision until he really needs to which, can be very frustrating for his PA, so being able to let this go over your head and not let last minute changes fluster you then you’ll be fine!

APPLICANT

You don’t have to be someone who has supported or worked as a PA before! If you can demonstrated that you have strong administrative skills within an office environment, you’re a confident communicator, intelligent, and has common sense, professional when dealing with internal and external contacts and someone who is not precious and is happy to run out to grab a coffee if needed then you’ll be considered! This person must love what they do – ultimately looking after someone and ensuring that their day runs as smoothly as possible. An enthusiastic, bubbly and personable person, someone who he can learn to trust in time and it is important that this person has had exposure to working in a commercial environment alongside business orientated/entrepreneurial people. My client is happy to consider both the less experienced candidate as well as a more senior PA, however if you are a senior PA then you will need to bear in mind that you will be working for the current PA therefore if you are someone who will not be able to do this, then this role wouldn’t be right for you.

COMPANY

Although the company is within the professional services sector, they are very open, friendly, social and down to earth! The company is less than 100 split over several offices and in Bristol there is approximately 40 employees.

This position will be a full time role working Monday – Friday 09:00-17:30, 20 days annual leave plus the bank holidays, annual leave increases with every year of service to a maximum of 25 days total.
