Salary: £26,000 per year
Our client based in Winchester is seeking a Sales Team Administrator to join their expanding team
The successful candidate will be a good team player, with strong organisational, excellent IT skills and communication skills (both verbal, numeric and written), the ability to work under pressure and a willingness to learn.
They will have previous experience of working in a busy environment and be able to provide a high level of service to and establish rapport with, clients and colleagues. A self motivated individual, able to manage own workload, they will also be able to demonstrate reliability, flexibility, discretion and initiative.
KEY ACTIVITIES
Providing full administrative support to the department
Diary management, including internal and external meetings and viewings, full knowledge of Microsoft Outlook to support this is essential
Sending out completed reservation forms and sales letters to the relevant parties as a priority
Collating terms of business and ID
Ensure all files are compliant and in line with company standard, inclusive of filing, archiving and photocopying
Organising photo shoots and floor plans
Email marketing and EDMs
Occasional accompanied viewings
Dealing directly with clients, over the telephone, taking messages and occasionally meeting face to face
Ensuring the phones are manned/covered at all times during the working day.
Collating and distributing reports for the team for client meetings
Super User of Reapit), putting developments on and making sure the team are using it effectively, also upkeep of websites and applicant management.
Updating Dynamics, with new contact and connections
Producing accurate commission invoices, and processing received invoices.
Updating forecast reports and other financial reports where appropriate
Assisting the HOD with sales & marketing pitch reports
Collating and updating market research
Provide assistance to team members wherever possible
Opening and distributing post
Ask questions, interact, and discuss objectives and day to day work of your team
Develop and maintain active communication both within your team and other teams
In addition to the tasks described above you may be required to carry out other duties as may reasonably be required from time to time.
PERSON SPECIFICATION Enthusiastic Driven Motivated Flexible Proactive
TECHNICAL SPECIFICATION Excellent IT skills inclusive of:
o Microsoft Outlook (add/modify meetings, send/receive/file emails, accurate multi diary management)
o Microsoft Excel, must be able to create and manage spreadsheets inclusive of creating own formulas, accurate data entry and ability to edit/modify. Ability to produce pivot tables would be an advantage but not essential.
o Microsoft Word, a basic knowledge of Word would be an advantage although not essential
Must be able to produce accurate work inclusive of invoices/accounts, checking the quality of work for errors or any anomalies Ability to challenge process or question where appropriate. Multi tasking is an essential skill, and ability prioritise
