Receptionist

Salary up to £30,000depending on experience
Our client, a rapidly expanding civil engineering company based in Harrow, now requires a Receptionist to join their busy team.
Key Tasks and Responsibilities
Front Desk Duties
- Greet and welcome guests as they arrive at the office in a polite and professional manner and offer them refreshments.
- Issue visitors with visitor passes after signing in and ensure they are returned on departing.
- Updating notice boards of recent alerts and monitoring the display until dates. Alerts are released weekly.
- Operating the telephone system from 8:00am – 5:00pm; receiving and transferring telephone calls, announcing callers.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Admin Duties
- Accepting deliveries throughout the day and alerting the delivery to the appropriate person.
- Open and stamp all post, outgoing post to be franked and a record kept for all recorded and special delivery.
- Keep inventory of stationary stock and when more is required enter it in the purchase order book.
- Order stationery once a week unless otherwise requested and receive authorisation from line manager.
- Monitor ink and toner cartridges for printers and plotters and send meter readings each month.
- Book meeting rooms on all floors if required following confirmation from the meeting room calendar log- ensure meeting rooms are tidy, before and after meetings and order refreshments if required.
- When any maintenance/ workers come to do work in Head office, ensure they sign in, complete RAMS, obtain permits from H&S dept. if required, record in maintenance book and file the documentation.
- Any other Adhoc duties when requested by a member of the team including: booking taxis/couriers when required, cancelling shred it at Christmas, Recording Visa transactions, monitoring bread and milk orders and cancelling at Xmas.
- Health and Safety checks- fire alarm, fire extinguishers, fire Marshall, first aid, defibrillator. Ensure all checks are filed and noted.
New Starters
- Office Orientation – provide all new office staff with an orientation pack and ensure all items are completed and signed by new starter. Give a tour of the building. Issue key fobs for the doors in the office for new staff and cancelling old ones. Issue them with a card case and lanyard. DONSEED – sign up all new staff in the office to the DONSEED and give instructions on use. Set up new starters on the printers. Obtain completed DSE Questionnaires from new starters and carry out DSE assessments if required.
- Complete PPA forms when requested to do so, print and file one copy in the office and pass the other to the relevant manager.
- Report telephone equipment and line faults to the Office Manager.
