Salary: £36,000 – £42,000 per year

Our client a dynamic, fast-paced and growing executive resourcing firm is looking for a Project Coordinator to join their team on a three to six month fixed term contract. You will be providing efficient and accurate administrative support to the Head of Public Sector, Search to ensure the quality, accuracy and timeliness of database management, search and BD support.

You will have excellent written and oral communication, a high attention to detail and a minimum of 5 to 10 years’ experience in a business environment, preferably within an executive search, recruitment or resourcing environment.

Responsibilities:

Managing all applications to all roles and ensuring a high level of customer service to both clients and candidates throughout the lifecycles of the projects
Ensuring clients and candidate records and documents are fully completed on the database
Ensuring project plans, key events and timetable are logged and key dates entered in delivery team diaries
Providing prompt and efficient service updates to clients and candidates throughout assignments and all documentation as agreed
Assisting with setting up advertising campaigns related to assignments, taking responsibility for fielding enquiries and handling the response
Ensuring confidential papers are managed appropriately
Ensuring correct templates, logos and branding are used on documents to promote brand profile and consistency
Assisting to proactively and effectively manage meetings both internal and external
Managing meetings and interviews including scheduling events in diary for allocated Partners, ensuring all meetings confirmed by email and recorded correctly, ensuring meeting rooms meetings rooms are booked, setting up and clearing as appropriate; ensure reception are aware of external visitors and arrangement and dealing with meeting and greeting arrangements during office and out of office hours
Assisting with researching
Arranging appropriate travel and accommodation arrangements when requested
Providing support with invoicing, purchase orders and business expenses, including matching receipts to events and adding to expenses excel spreadsheet
Assisting in reviewing, acknowledging and responding to speculative candidates and CVs; including arranging meetings where appropriate and logging onto the database
Manging all submissions and paperwork relating to projects which due to the volume of vacancies and number of responses is very administration and paper heavy
Liaising with multiple senior stakeholders across Government
Chasing missing or incomplete information and applications
Helping maintain a tidy and professional office
