Legal Practice Assistant (Private Client and Knowledge)
£39,-£44,000 max (depending on experience)
A fantastic opportunity has arisen for a Legal Secretary preferably with Private Client experience to work for this entrepreneurial, highly prestigious City law firm. The caseloads are extremely interesting and the workload is varied, challenging and will rely on the PA to become fully engrossed with all aspects of support, pre-empting the busy schedules of the Fee Earners and being one step ahead to alleviate any pressures. There will be lots of client contact, therefore the ability to display good business etiquette, empathy, understanding and first-class communication skills are necessary. The environment is sociable and collaborative with a great support function with the scope for continued personal development. The role is to support a Private Client Partner with some support to their team, but additionally a knowledge Lawyer. Both have super busy schedules and require a forward-thinking PA with acute attention to detail and who can multi-task in this busy and rewarding role. You will also need to have strong presentation skills using PowerPoint as there are lots of graphics and flow charts used for presentations. As a Legal Practice Assistant your duties will encompass:-
Responsible for all aspects of the administrative and secretarial work for the Private Client team and Knowledge Lawyer
Working very closely with all members of the team in an efficient, proactive and professional manner including updating precedents and Know-how information, bulletins, internal web pages and preparing the team weekly Legal updates
Understanding workload and prioritising duties to ensure best practice
Assisting KL in monitoring new practice area developments and publicising them to the team Assisting KL to progress team KM projects, including helping to review new knowledge IT products
Providing a professional and personable point of contact for all external parties, particularly clients
General administrative duties including AML checks, file opening, billing, and file closing
Managing team members diaries and outlook calendars including arranging travel where required
Liaising with Marketing and team members in relation to the production of team briefings. Managing the team’s training booking system including publicising key training events within the team
Arranging Quarterly Tax Review training sessions for the team
Assisting KL with monitoring the team training budget and preparation of annual training budget submissions
Audio and copy typing of correspondence using digital dictation
Organising various internal and external meetings including room bookings, refreshments and IT equipment
Acting as the first point of contact for Fee Earners, managing telephone, voicemail and out of office email messages for the team when they are not available and responding or re-directing where necessary
Coordinating and managing hospitality, conference calls for the team
Reconciling and processing expenses
Distributing documentation internally and externally, electronically or hard copy
Ensuring all team electronic and hard copy filing is managed in a timely and efficient manner in strict accordance with the firms procedures
Organising client events and ensuring meeting rooms are fully set up. Organise business development meetings and events for Fee Earners, and assists in the production of business development materials in liaison with the Marketing team
Research to include new clients and contacts and prepare reports/bios before meetings, and conducts basic research of the Fee Earners

You will need to be able to demonstrate strong interpersonal and communication skills, good commercial awareness, business acumen in this diverse, stimulating and responsible role, taking ownership of decisions and delivering a high-quality service. You will also have:
Previous Legal PA experience of working in a fast-paced environment ideally Private Client although this does not necessarily need to be extensive, but a general interest to excel in this field is required alongside solid experience as a Secretary or Practice Assistant in Legal and with transferable skills
Strong interpersonal skills and a high awareness of customer service principles and techniques
Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines
Excellent organisational skills, ability to prioritise conflicting workloads and be able to work as part of a team
Can Communicate in a positive and constructive manner and interacts in good faith and can demonstrates effective listening
Use initiative and take a proactive approach to work by regularly seeking ways to improve secretarial support and positively supports and promotes change within the team and can work effectively under pressure in busy times and act with confidence and composure
Advanced MS Office knowledge and minimum typing speeds of 60-65wpm
Minimum 5 GCSE’s Grade C or Above or equivalent
