***Must travel between 3 offices***
The role:
To provide effective secretarial support services to the fee earners and partners within the department you are assigned to and make certain specific departmental procedures are adhered to. Ensure that clients are dealt with in a professional and courteous manner at all times. Provide secretarial support for other departments as necessary.
To provide full secretarial support to the fee-earners and partners within each department as directed.
To provide full secretarial support in other departments as directed by use of the BigHand system.
To comply with any relevant processes that are specific to the area of law you are operating within.
To attend to clients both on the telephone and in person. To take and record accurately any messages left and pass them on to the appropriate person without unnecessary delay.
To deal with basic client enquiries and updating of file progress either over the phone or in person.
To deal accurately with filing – storage and retrieval of client files in line with the firm’s filing system.
To set up new files accurately and speedily on instructions from fee earners.
To undertake time recording on the Proclaim system as appropriate.

To make appointments, arrange meetings and maintain an up to date diary.
To use the photocopying equipment to achieve copies of the correct standard in line with the firm’s requirements.
To ensure the confidentiality and security of all practice and client’s documentation and/or information.
To undertake any specific training or refresher course as and when required by the partners.
To undertake any other duties which from time to time may be allocated especially to assist with the smooth running of the office during holiday times.
To comply with any reasonable instruction given by a fee earner or partner.
To be presented in a smart and professional manner. Although there is no uniform code all staff are expected to wear clothes that are suitable for a business environment. Qualifications and Experience
Previous legal secretarial experience.
Proven experience of Microsoft office systems.
Proven audio and copy typing speeds.
Good communications both in person and on the telephone.
Presentable appearance.
