Job Summary

To provide accounting and administrative support to the Building Manager, Building Services Manager and the wider building team.

Main Responsibilities

  • To collate, monitor and analyse property service charge expenditure and income
  • To raise, monitor and collate all purchase order requests, purchase orders and invoices and to ensure these are prepared in accordance with the agreed procedures and are correctly coded
  • To process all invoices on a weekly basis
  • To raise and process tenant recoverable and intercompany charges back to the service charge budget
  • To liaise with the Building Manager and Building Services Manager to raise all tenant utility billing on a monthly basis
  • To track, analyse and report on nominal transaction costs, project sped and tenant charges
  • To reconcile, monitor and analyse the financial reports monthly To liaise with energy consultants to ensure accurate and up to date utility (electricity, gas and water) data is provided and being used for billing
  • To prepare and assist with annual budgets and year end financials To assist tenants with queries related to the property service charge expenditure, income, environmental data, building signage and other
  • To provide a thorough, detailed reconciliation of all accounts as required To forecast budget savings and additional expenditure monthly
  • To reconcile and manage petty cash
  • To liaise with the cleaning manager and supplier at the end of each month to order cleaning and toilet supplies for the building.
  • To work with the central Accounts department on costs and coding
  • To assist with leasing related matters e.g. lease records, data allocations and apportionments of multi tenanted floors
  • To provide information to auditors and assist with the audit process as required
  • To provide a monthly open purchase order report and liaise with the Building Manager and Building Services Manager for closures and action as necessary
  • To carry out any other reasonable duties as requested by the Building Manager and Building Services Manager.

Salary: £43, 606

What We Require Of You

  • The incumbent should possess good administrative skills and have at least 2 years’ experience in working in a property environment.
  • The incumbent should have strong experience and background in an accounting environment.
  • Computer literacy is essential. Knowledge of Microsoft Word, Excel and Outlook is essential.
  • The incumbent must be able to use their initiative, communicate at all levels and deal with problem situations.
  • The incumbent must have strong interpersonal skills and be polite and courteous to all tenant visitors and contractors.
  • The incumbent must be well presented and have a flexible and organised approach to work and be able to manage a heavy workload.
  • The incumbent must be a team player who is hardworking and able to work under pressure.
  • The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf.
