Position: Member Services Coordinator
Location: Home based to cover South West
Salary: £27,600 – £30,000
ROLE:
As Member Services Administrator you will provide excellent service to the Members in your territory and be the principle point of contact for two-way communications at a regional level. Your primary responsibility will be overseeing the work of the local member groups (LMG) in the South West, working with them to produce and deliver a vibrant programme of Continuous Professional Development (CPD), networking and social events.
You will champion the RICS and play your part in delivering the UK business plan at a regional level, looking for opportunities to raise the profile of Chartered Surveyors and to grow & develop the membership. In addition you will support the Member Services Manager in the engagement of Members across the UK South region assisting when required in all aspects of regional activity. You will play an active role in identifying and encouraging entrants to the South West Awards.
Additionally you will be responsible for the administration and coordination of the South West regional board activities.
RESPONSIBILITIES:
You will deliver a programme of professional networking and profile raising events within the region, working closely with the Member Services Manager, Regional Director and LMGs, with specific responsibility for planning, promoting and delivering your activity on budget.
You will provide Events Management including:
– Liaising with venue sourcing agency to ensure selected venues are most suitable for requirements.
– Taking full budgetary responsibility for local events ensuring their viability and the allocation of grant funds where appropriate. Being accountable for accurate budget maintenance via the events system.
– Uploading events to the booking and website systems and ensure events are included in e-newsletters, be pro-active in delivering an effective and targeted local marketing using all marketing channels available in accordance with DPA and RICS guidelines.
– Event administration, catering, refreshments, preparation of conference documentation, badges, attendance lists
– Co-ordinating the event on-site, liaise with the venue, attend where appropriate and actively facilitate networking.
– Speaker administration including speakers` travel, special requirements, presentations and papers
– Producing delegate evaluation forms and collate and analyse data post event
– Ensuring that all sponsors` requirements are delivered at the event
You will also support the Regional Board including organising meetings, taking and issuing Minutes and assisting the Director with other duties as required. You will support LMG committee meetings aiming to attend at least one meeting per group per year.
Furthermore you will support the success of the RICS Awards Programme, with specific responsibility for driving up entries by identifying and contacting potential entrants and administering award entries for your territory. You will also be liaising with the judging panel and organising visits where necessary, and working closely with RICS Conferences to deliver a successful ceremony
ESSENTIAL SKILLS / EXPERIENCE:
a) Excellent customer service. A passion for networking and working with people.
b) Experience of organising and running events.
c) Strong project management and logistics skills – delivery on time and within budget.
d) Customer focused and ability to build good internal relationships.
e) Highly IT literate: Good grasp of Microsoft office suite and have a good level of IT literacy to quickly adopt in-house systems.
f) Excellent communication, persuasion, negotiation and presentation skills. Budget management and planning skills.
g) Willing and able to travel and work flexible hours to meet the needs of the business within the UK, as and when required.
h) Driving licence holder.
