The Role (Office based)
The Client Services Administrator/Manager will work closely with the existing team to deliver essential customer account administration. We require a well organised individual who can help manage the sales cycle process to ensure our clients receive the highest level of customer service. The role will predominantly require the successful candidate to engage with the client from the point of sale through to the completion of the project, and they will be the main point of contact for our clients from this point.
The suitable candidate will be highly organised, methodical, detail orientated, and people focused with the ability to work at pace with competing priorities and multiple stakeholders.
Experience needed: Customer service business to business, administration, operations, previous fast paced multi-tasking environment exposure, project coordination – personality – pride, completer finisher mentality!
Responsibilities
- Liaise with our manufacturers to ensure that goods are despatched on time from our suppliers. Ensure any paperwork and corresponding information needed in order to facilitate the delivery of the goods is requested and completed.
- Liaise with our clients to arrange and confirm delivery dates. Ensure they are aware of the processes around the installation and what will be required from them both ahead of delivery and once the machines are on site.
- Speak directly with our installers to arrange installation dates. Ensure invoices and other paperwork required from them is received and then passed to our accounts department/relevant parties.
- Produce quotes and reports for our clients using our in-house templates and calculators
- Request invoices & purchase orders from our accounts team. Ensure client invoices are sent and paid on time. Chase clients for any outstanding balances.
Ideally you will also have:
- The ability to pick up tools and systems quickly and always demonstrate an understanding of the importance of keeping these up to date
- Working knowledge/experience of using MS Excel for calculating formulae and managing spreadsheets.
- A self-starter, with exceptional organisational skills with the ability to prioritise and multitask, especially when dealing with competing priorities
- Excellent communication skills, with the ability to liaise with senior members of the business and candidates in a confident and professional manner
- Process oriented with the ability to see a task through to completion
- A team player who works effectively with others
