Salary: £26,000 per year

Job Summary:

To provide reception duties as a first point of contact for the Human Resources and Workforce Development Team. The post holder will be expected to maintain high standards of courtesy, discretion and confidentiality at all times.

To provide data input support to the Workforce Development team in an accurate and timely manner to ensure reporting deadlines are met.

Reception Duties

To provide a reception service providing an efficient customer service by:

Greeting visitors to the HR/Workforce Development Department which will include co-ordinating arrivals to planned meetings that are taking place within the department, hosting visitors and alerting relevant colleagues to their arrival.
Answering HR/Workforce Development enquires and escalating where appropriate which will include handling calls for colleagues when they are otherwise engaged or out of the office ensuring that accurate messages are taken and delivered efficiently via email.
Monitoring and operating the entrance to the department to ensure that all foot traffic is received in reception as first point of call.
Opening and distribution of post.
Issuing ID badges.
Greeting new starters and ensuring all joining documentation is completed accurately during their 1:1 appointment which includes:

Ensuring the reception area is tidy and welcoming.
ESR/Payroll documents
Identity documents
Pre-employment checks

Data Input Support to the Workforce Development teams

To provide timely data input support to the Workforce Development team under their direction and managing time accordingly by:

Preparing registers and signing in sheets.
Post course administration e.g. inputting of registers, post course evaluation.
Monitoring the training email account and providing timely responses to requests.
Inputting all training bookings taken by the workforce development team.
Preparing and sending out joining instructions.
Booking rooms for events.
Inputting study leave forms on to system.
Preparing flyers and publicity materials.
Preparing surveys for distribution.
Collating and accurately inputting responses from the surveys within the agreed timeline.
Providing a checking service for the monthly ESR input ensuring all mandatory fields are populated using a checklist.PLEASE NOTE, DUE TO THE LARGE VOLUME OF APPLICATIONS WE RECEIVE ONLY SHORT LISTED CANDIDATES WILL BE PROVIDED WITH INDIVIDUAL FEEDBACK. THIS ROLE IS A 12 MONTHS CONTRACT, WORKING 37.5 HOURS PER WEEK. THE ROLE WILL BE REVIEWED AFTER 12 MONTHS WITH THE VIEW OF EXTENSION.
