To be responsible to the Facilities Manager for the overall operation of the Facilities functions at UK Office to the performance standards agreed, with the exception of the Engineering and Maintenance staff.
Main Duties and Responsibilities
> To manage and develop the staff in the Building Services Section of the Facilities Management Team (switchboard, reception, reprographics, postroom) in accordance with current Society policies and good management practice to ensure a customer-focused service.
> To assist the Facilities Manager on all aspects of the Facilities function, with particular emphasis on policy, procedures, and Health and Safety legislation
> To monitor the performance standard of all services, noting sub standard performance and initiating corrective action as soon as practicable
> To review at least annually, where necessary, the contracts and overall performance to specification of all service providers and to report on same to The Facilities Manager.
> To maintain monthly financial statements in line with guidance from the Finance Department, so that regular assessment of financial performance is achieved in relation to the budget.
> To initiate quality assurance systems that are applied to all services and the entire functional area.
> To provide the Facilities Manager (on a monthly basis) with an update on the performance of all service providers to include any non budgeted expenditure for each service.
> To assist the HoD in all matters pertaining to HASAW and COSHH matters. This area to be kept under review to include regular input from the Facilities Management, so that new legislation and approved codes of practice are implemented and communicated.
> To ensure that records and procedures are maintained for all service area so that all staff are cognisant of their responsibilities, and so that performance monitoring can be conducted. Be prepared to recommend alterations to performance standards in the light of experience and audit reports, cost effective service delivery and contractual/SLA responsibilities.
> To make recommendations for capital expenditure with emphasis on “spend to save” measures.
> To be responsible for the Business Continuity plans and input for the Facilities Management Department, reporting to the Facilities Manager on a regular basis, informing her of any changes.
> To deputise for the Facilities Manager in their absence
> Proven ability to change and adapt to changing demands within a fast paced environment and the ability to juggle a variety of tasks.
> To have or to undertake NEBOSH course in European H&S management and regulations.
> To be or to undertake BIFM membership
> Any other reasonable duties as delegated by the FM.
