Administration Assistant – Fashion Magazine

Our client one of the UK’s leading Fashion magazines are looking to recruiting an Advertising Administration Assistant to join their team in this key position. This is an exciting opportunity to join one of the most talked about fashion magazines with plenty of scope for progression. They are looking for a passionate, well organised individual who will thrive in a fast paced environment and excel in what they do. The candidate will be responsible for reconciling and invoicing all advertising revenue across their 12 magazines and digital portfolio. As well as dealing with a busy office schedule you will be client facing and have exceptional customer service skills.

Key responsibilities:
•Supporting different departments with all administration
•Responsible for raising all company invoices in an accurate and timely manner
•Reconcile the monthly advertising content of each magazine to bookings made on the advertising system, resolving any queries directly with the sales team
•Provide additional monthly revenue and page analysis to the management accounts team
•Liaise with different departments via email and face to face meetings
•Liaise with both internal and external auditors regarding the monthly invoicing procedure
•Provide support to sales staff in using the advertising booking system
•Meeting clients and providing excellent customer service
•Other Ad-hoc duties
•Assist maintaining the internal systems and database
•Attending meetings and taking minutes
•Responsible for the reconciliation and payment of international sales commissions in a timely manner

Key skills:
•Strong Excel skills and the ability to understand systems quickly
•Strong organisational skills
•Ability to communicate with staff at different levels and across different departments
•Ability to use your initiative and have the confidence to suggest improvements to current procedures
•Excellent customer service skills
