Salary: £44,400 per year

We are recruiting on behalf of our client for a Sales & Events Manager, and our client is located in the heart of Bloomsbury in a Grade 2 listed venue. Our client has six meeting rooms throughout their venue. They host a variety of events ranging from weddings to TedEx talks. This position will take inquiries, provide quotes, and plan and deliver events. You will also be expected to cover for the Head of Conferences and Events when on leave by attending meetings and ensuring the office is managed. This role will require working on occasional weekends during a significant events. Toil will be offered for the time required to work on weekends, this is also shared on a rota basis. 

Key Responsibilities

  • Maximise sales conversion by inquiries are responded to with tailored information and timely quotes in a professional manner, ensuring product knowledge is up to date.
  • Promote the venue to prospective clients, deliver site visits as required, and upsell the venue and its associated event services, e.g. catering (in-house) and AV to order to maximise the use of our client’s space and increase revenue
  • Diary management for events, placing holds and amending bookings/requirements as required
  • Liaise closely with the Sales & Events Co-ordinator and ensure all inquiries are straightforward and a fair response system is in place. Responsible for ensuring the phone is covered at all times
  • Account management of key clients ensures relationships are maintained, repeat clients are retained, and maximises sales opportunities.
  • The First point of contact for all inquiries wedding inquiries, escalating to the Head of Events as appropriate.
  • Ensure pre-planning is done within timelines and the Events are signed off by the client
  • Assist with event delivery at busy times or for more complex events, including weddings.

 Admin, finance and communication

  • Ensure confirmed bookings are correctly contracted and invoiced for within the colleges proscribed timelines, and the booking system is updated accordingly
  • Ensuring client records are kept up-to-date and adhering to the GDPR and weekly operations meetings to provide a complete handover for the following week’s bookings is thorough and effectively given to the event delivery team. To lead these meetings in the absence of the Head of Conferencing & Events.
  • Liaise with internal and external suppliers, including catering, facilities, AV and housekeeping. Negotiating the best possible rates and ensuring costs are covered with the inclusion of a handling fee
  • Liaise with venue finding/event booking agents, ensuring commission rates are promptly invoiced for in a timely manner
  • Oversee the administration of the events database including the updating of menus and pricing
  • Manage the fortnightly chasing and cleansing of the diary
  • Collect, collate and circulate event feedback. Ensuring the Feedback Report and the Client Base Observations Report is completed and submitted no later than one week in advance of the bi-monthly P&L Meeting. Report any issue to your line manager
  • Reconciliation of the caterer’s weekly report to ensure events have been accurately invoiced
  • Ensure the contract and financial information for confirmed business is correct, pass it to the Head of Every week within the Sales Report, on cancelled basis. To track pending, lost or cancelled business for reporting purposes.

Other

  • To support the Head of Conferencing & Events in successfully delivering the marketing plan by contributing to research, generating marketing material, attending event exhibitions and networking initiatives to generate leads. To use social media within event guidelines.
  • Use Publisher & In-Design software to create basic marketing material as requested by the Head of Conferencing & Events.
  • To assist the Head of Conferencing & Events with any ad-hoc projects and to manage the events office in the absence of the Head of Conferencing & Events.
  • To support, train and motivate other members of the team and extended team
  • To work weekends and unsocial hours as required and to undertake other duties as required, in line with the role’s responsibilities.
