Salary: £32,400 – £42,000 per year

Medical Practice Administrator  ent4kids 

Ent4kids is an established private medical practice looking after children as well as a fair number of adult patients. 

The successful candidate must have appropriate Personal Assistant/Managerial experience, be an excellent English speaker, IT literate and be comfortable working with apple Mac computers. 

You will need to have good people skills, enjoy working with children and young parents, be highly organized, professional, have excellent time management skills, discreet, punctual and a gifted multi-tasker. 

You must also be able to work on your own initiative and be self-motivated. This is an opportunity to build a successful career in a warm, friendly and prestigious practice. The practice is expected to expand and develop additional Paediatric services. 

We expect loyalty and commitment and you should expect the same in return. Starting salary will depend upon experience. This will be reviewed and increased periodically depending on performance. 

Medical Practice Administrator General and Specific Responsibilities 

To provide administrative support to the Consultants working at ENT4KIDS, specifically:

Appointments: 

  • To arrange outpatient appointments, registering and scheduling on the GENIE patient information system, arranging nursing and audiology cover when appropriate. Sending email and text confirmations. 
  • To undertake training in the use of the GENIE database Information System in order to register, update and obtain patient information.

Clinic environment: 

  • Ensure the consultation rooms are prepared for clinics following the requirements set out for individual consultants. 
  • Ensure waiting room is clean and tidy 

Reception: 

  • Welcoming patients and ensuring they are comfortable. 
  • Ensuring patient details are kept up to date. Keeping patients informed of any delays or changes. Checking insurance details. Receiving payments from patients 

Accounts: 

  • Patient/ Insurance Billing, Process accounts/credit control, Payment of invoices, issuing cheques in a timely fashion 
  • Liaise with the practice accountants
  • Collect and collate feedback questionnaires 

Surgery: 

  • Liaising with hospital reservation teams to book surgery sessions. 
  • To ensure that pre-admission and discharge information is provided to the hospital for inclusion in the patient’s health record file 

Office Management 

  • To manage correspondence including emails, clinical letters, diary keeping and telephone enquiries as directed. 
  • Relations with other doctors, clinics and hospitals 
  • Liaising with other hospitals and clinics, embassies and insurance companies. Acting as Ambassador for ENT4KIDS 

Care Quality Commission 

  • Be familiar with Care Quality Commission regulations and requirement. Liaise with consulting service supporting the clinic 
  • Arrange appropriate training for yourself to meet the criteria set out by the CQC regulations including Basic Life support and Safeguarding Children 

Patient support 

  • To provide support to patients during their “journey” through the healthcare system including postoperative follow up phone calls, checking on patients health if they have been unwell. 

Medical Practice Administrator Requirements 

  • Experience in a similar position of responsibility is essential 
  • Team player and people person 
  • Sunny disposition with an ability to make people and especially children feel at ease. 
  • Flexibility. 
  • Good verbal and non-verbal communication. Well presented
