Salary: £26,000pro-rata (£hrs per year)
Hours of work: 22.50 (or 18 hours) per week (Monday, Thursday and Friday), usually 9-5 pm but can be flexible such as 9-3 pm.
You will work as an important member of the wider administrative team to provide smooth and efficient, high quality secretarial and hands-on administrative support function to the Consultant Psychiatrist and MDT (multi-disciplinary team. The usual duties may include (ensuring efficient diary management of the Consultant psychiatrists and associate specialist; safe and efficient data management; production of letters and reports with; providing on-site secretarial support to MDT meetings.
You must love dealing with people at a busy reception because you are very much in the front line with the patients and their families. As such, the post will include exchanging verbal and written information with patients, funders, care coordinators, staff and carers.
About Baldock Manor Hospital
Baldock Manor Hospital is the flagship site of Nouvita Healthcare and it is our 40-bed mental health hospital in north Hertfordshire, offering a range of specialist services for both men and women across 2 separate wards. Service users are usually referred from other secure placements or from acute wards and are usually detained under the appropriate section of the Mental Health Act 1983 (amended 2007), although some are informal.
Duties:
* Screening incoming telephone calls, recording and transmitting messages, scheduling appointments, arranging referrals to other healthcare providers, scheduling appointments for consultations, tests, scans etc.
* Provide front of the house cover when needed.
* Maintaining calendars and diaries, scheduling appointments, consultations, professional meetings, conferences, teleconferences, and travel.
* Produces information by transcribing dictation, preparing medical reports and summaries, patient histories, manuscripts and correspondence, planning, organising, coordinating and controlling projects
* Maintains patient confidence and protects operation by keeping information confidential
* Maintains office supplies inventory by checking stock, anticipating needs, placing and expediting purchase orders and verifying receipt
* To prioritise and efficiently organise own workload daily to ensure that all tasks are completed on time
* To liaise and maintain close working relationships with other secretaries and administrative staff and to cover leave for other secretaries when necessary.
Skills & Knowledge
Essential
* Office experience – working knowledge of Microsoft programmes
* Touch and Audio typing and experience in accurate minute taking.
* Excellent verbal and written communication skills
* Fully IT literate, especially in Microsoft Word, Excel, Database systems, Outlook, is essential
* Excellent organisational/interpersonal and time management skills and always prepared for planned and ad-hoc/spontaneous responsibilities.
* Able to manage competing demands
Desirable
* Experience as a Medical Secretary or ward administrator within the mental health sector a benefit but not essential
* Medical Secretary qualification e.g. AMSPAR, NVQ is desirable
* Knowledge of medical/mental health terminology and health information practices is preferred although not essential
