Job profile
Established Japanese Manufacturing Company is looking for Italian Speaking PA
Main responsibilities
• Co-ordinate and manage the diaries of the Global Executive Team on a minute by minute basis, ensuring all details (history, background, contacts, etc) are entered into meeting appointments
• Arrange/book extensive travel, process expenses, raise PO’s and manage holidays/ absences
• Coordinate the Global Executive Board’s monthly meetings and board papers
• Take minutes/actions at meetings ensuring these are circulated promptly, with actions followed up
• Provide general administrative support including, preparing letters, filing documents efficiently and accurately, shredding confidential information and generally acting as effective conduit for the Global Team
• Provide support and cover for the other Global Team PA as and when required i.e. holidays, sickness etc
• Liaise with internal and external stakeholders ensuring all key contact enquiries are handled efficiently and effectively, seeking answers quickly and efficiently and resolving matters personally where appropriate
• Arrange meeting rooms/ venues, meet and greet visitors and arrange business catering/ refreshments/ breakfasts, lunches and dinners
• Answer all incoming calls in a professional manner and pass messages via email, including the appropriate contact name and telephone details
• Manage and maintain the client database whilst ensuring relevant contact details are added
Who we are looking for
• Proven track record as a successful and supportive PA or assistant to an Executive Team and/or Managing Director with Excellent Administrative and Organisational skills
• Fluent in Japanese written and spoken
• Experience of board or executive management meetings
• Experience of minute/ note taking and following up actions
• Discretion, positive outlook, ‘can do’ attitude and approach
• First class communication skills, written and verbal
• Word (advanced), PowerPoint (advanced*), Excel, Outlook
• Excellent IT Skills (including MS Office to an advanced level)
• Self-motivated and able to work on own initiative as well as take instruction
• Ability to work under pressure and flexible
• Experience of and commitment to the effective implementation of equal opportunities and CSR policies
• Ability to communicate effectively both orally and in writing
• Commitment to working as part of a team
• An understanding of health and safety requirements of a working environment

Fluent Italian and Japanese
