Salary: £31,200 – £34,800 per year

Our client is seeking a Team Administrator to join their busy team based in the West End on a permanent basis. The role is supporting a Director and a team of 8.

The successful candidate will be providing admin support to surveyors, client accountants and facilities managers. They must have great communication skills both on the phone and via email. The candidate will be proactive and be able to organise a workload.

Key responsibilities:

Managing team diaries, arranging internal and external meetings, including organising lunches, travel arrangements and hotels where required
Maintaining an efficient electronic filing system by ensuring that the filing of documents is kept up to date, creating new files, scanning and archiving document and saving documents to the shared drive
To identify, co-ordinate and implement projects to improve efficiency’s within the team
To take responsibility for collating and presenting team data on a regular basis for review with team leaders at team meetings
Taking detailed meeting minutes for circulation.
Answering the telephone in a courteous and helpful manner including overflow calls from reception and assisting with Client, Tenant and Contractor queries where possible.
Updating Client Connect (property database), ensuring all fields are completed where possible, producing reports from Client Connect and printing, binding and circulating reports as directed.
Setting up inspections including EPC inspections, FRA and Health and Safety inspections, valuations and insurance inspections
Updating contacts databases on a regular basis
General administrative duties including photocopying & scanning documents, distributing post, responding to and creating emails, updating spreadsheets, taking minutes at meetings and producing letters and mail merges.
Help to cover reception as and when necessary
Attending monthly TA support meetings
Assist other teams with admin duties as and when required
Report to client and advisors on environmental and sustainability

Strong interpersonal skills, capable of communicating at various levels
Effective PC skills, including working knowledge of Microsoft packages
Pro-active, flexible attitude to changes in the company, IT systems and the role
Fast and accurate typing skills
Excellent communication, in person, on the phone and in email
Able to actively build and develop relationships internally and externally
