Salary: £26,000 – £28,080 per year

School Business Administration Assistant – brilliant role in a gorgeous school – Term time only (38 weeks + 10 days in the summer)

Strong basic salary – Holidays and insane pension contribution (20%) – Support the Office Manager and general well-being of the school.

Cramlington ( 0800 – 1630 )

A lovely role in a local school for a strong administrator who is looking for Term time only, with pro rata holidays and all school holidays off.

To start as soon as possible – post notice period.

The Responsibility and day to day of the position:

(Any areas that need support or training will be provided)

1. Organise and maintain effective administrative and filing systems, both paper and electronic in order to provide an efficient working environment

2. Organising and minute taking at meetings and providing confidential administrative support to the office manager

3. Deal with enquiries and queries from families both face to face and on the telephone and answer the telephones as and when needed

4. Provide general administrative support to managing and overseeing the technology stock in school

5. Oversee daily attendance tracking and follow up, being mindful of child protection issues and confidentiality.

6. To support the office manager in planning and co-ordinating transport for academy visits, travel and accommodation, training and development and lettings / community activities

7. Support the office manager in systems and reporting around the data i.e. on-line training, business continuity, risk management and incident reporting.

8. To support in Health and Safety training and reporting with site staff and office manager

9. Maintain records for staff absences – keeping up to date and accurate records for all staff, arranging occupational health referrals as required, ensuring appropriate documentation is collated and any actions required are undertaken Cramlington Village Primary School

10. Recruitment and selection – liaising with external advertising agencies for adverts, preparing packs for short listing, sending out invite to interview letters, overseeing interview days and coordinating interview tasks

11. Being responsible for the processing of new appointments and changes to existing employment contracts using established templates and pro-formas

12. Provide information and advice to staff and line managers in relation to legislative requirements i.e. HR, Health and Safety etc. Where appropriate, ensure that queries are directed to the appropriate member of the SLT for resolution

13. Support Single Central Record maintenance and Disclosure and Barring Service, including processing staff / volunteer checks and visitors to the School

14. To liaise with the bursar to support day to day enquiries on HR/payroll and expenses issues and correctly inputting data on all employees is effectively maintained by the use of approved systems and processes

15. Supporting finance to co-ordinate the procurement of goods and supplies, ensuring that the school obtains best value for money and compliance with Financial Regulations. Support the internal and external audit process in line with direction from the bursar

16. Support finance in the administrative processing of all insurance claims, from claim to settlement using the established systems

17. To comply with the policies and procedures of the school at all times

18. Undertake and attend any training and other reasonable duties (with competence and experience) as requested, in accordance with the changing needs of the school

19. To comply with the school’s Child Safeguarding Procedures, including regular liaison with the Designated Safeguarding Leader over any safeguarding issues or concerns

20. To support the office manager with GDPR, maintain confidentiality and complying with all school policies and procedures relating to GDPR 21. To adhere to GDPR and Data Protection Regulations, whilst maintaining confidentiality
