About the position:

You will be hands on in nature and have a keen eye for detail with strong organisational skills. This role is to support the Buyer and Procurement Manager across all group Indirect spend including Internal and external communications, organising meetings and appointments raising of Purchase orders and upkeep of filing systems, registers and regular events calendars and communications.

Key Responsibilities:

  • Maintain appointment calendars and communications for events such as FRA’s, electrical PAT testing, Health Surveillance
  • Run reports for spend, monitor service level agreements
  • Support continuous improvement and evolvement of the procurement processes
  • Maintain databases and filing systems for (but not limited to) Fire Risk Assessments, PAT testing, electrical wire testing,  Certificates of Destruction, Health Surveillance
  • Raise and expedite Purchase Orders ensuring approvals to the correct levels, receipt of Purchase orders into the system
  • Support reviews and maintaining/managing up to date certification of vendors
  • Manage register and filing of NDA’s, Contracts and vendor certifications.
  • Support in management and booking of scheduled requirements (i.e.: Health Surveillance etc.)
  • Support in solving potential supply issues / expediting to minimise their effect on the overall business.
  • Support Maintenance of Preferred Supplier list
  • Support and resolve invoice and purchase order queries
  • Support Buyer / Procurement Manager / Group property Manager as required (Including, but not limited to issue of request for quotations)
  • Support Group Property Management with PO’s, quotation, receiving of services/good into the system (and occasionally general communication to the businesses)
  • Management and updating of suppliers in the system to ensure PO’s can be raised and received.
  • Special projects support as required
