Our client is seeking an experienced Office Administrator Job Title: Priminary Job Role: To ensure the efficient and smooth day-to-day operation of our Office
Reporting to: Senior Management Team
Relationships Externally: Clients, Consultants, Designers, Sub-Contractors, Suppliers and any other parties as directed by the Office Manager.
Roles & Responsibilities
To ensure the administration of the Company is efficient and adheres to Company policies and procedures
To take a proactive lead in ensuring that systems and process add value to the business
To provide administrative support to our teams
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Responsibility for maintenance of office equipment
To assist with book-keeping, including processing expenses and invoices
Manage workflow, ensuring deadlines are met and work is completed correctly
Assist in training staff members
General Roles & Responsibilities
1. To be polite, courteous and respectful to all persons at all times ensuring excellent working relationships are fostered and maintained with the client, client team, employees and supply chain partners pre, during and post project phases.
2. You must act at all times in a professional, competent and honest manner and always be mindful of preserving and developing the good name, brand and image of the Company.
3. To safeguard the legal position of the Company in so far as your function is concerned at all times.
4. To always carry out your duties in a safe and considered manner.
5. The management of Health & Safety is of prime and critical importance. You must ensure compliance with all matters as set out in the Company’s Health & Safety Policy. Assistance on Health & Safety matters must be sought from your Line Manager or the Company’s Health & Safety Advisor when needed of when anything is unclear.
6. Responsibility for ensuring that each task under your control or allocated to you is completed in compliance with the information provided to you and within the timescale set by your Line Manager. If the works are not completed for any reason within the timescale set, you must report this to your Line Manager.
7. Ensure comprehensive, appropriate accurate records are kept in accordance with Company Procedures, appropriate to your responsibilities, to maximise the protection of the Company.
8. Assist with the production of information required for continued compliance of external accreditations.
9. Communicate and liaise verbally and in writing between customers, suppliers, visitors, enquirers and relevant staff, interpret and respond clearly and effectively to spoken requests over the phone or in person and to verbal and written instructions.
10. You are responsible for bringing any training needs you may have or consider others may need to the attention of your Line Manager.
11. Inform your Line Manager if you do not feel you have the skills and competencies to carry out a task that is being allocated to you.
12. Not to commit the Company to expenditure without the relevant authorisation.
13. To follow company procedures and working practices as set down and established from time to time including the use of adopted Company computer software packages and systems.
14. To identify any risk to the business (examples might be Health & Safety by others, failure on performance of others etc.) and to notify your Line Manager of any such perceived risks.
15. To undertake any other duties as may be reasonably required.
Office Administrator – Skills & Qualifications:
Proven experience as an Office Administrator
Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Advanced Excel
Excellent time management skills and the ability to priortise work
Attention to detail and problem solving skills
Ability to analyse and revise operating practices to improve efficiency
Good communication skills both verbal and written
Have a confident and enthusiastic personality, with a forward-thinking attitude.
