Membership Assistant for High Profile Independent Charity

Our client a high profile charity based on the outskirts of the West End, are looking for a highly self motivated and professional Membership Assistant. The successful candidate will be responsible for providing administrative support to the Membership and Groups’ team, excellent customer service and updating the membership and groups monitoring and reporting information using Excel to produce reports, charts and graphs. They will also be responsible for implementing the membership and groups processes, including maintaining accurate and up to date information about members and groups on the database, updating the CMS system and using the online forum and email system.

What will my primary responsibilities be?

To deal with day to day correspondence and contact from members and single parents including by email, post and telephone.
Take responsibility for all administration associated with groups including recording and processing new group applications, (recording and filing licence agreements, requesting references, updating the database and adding information to our website.)
To ensure the membership and groups database and online email address book is kept up to date with contact details and other relevant information, in accordance with team procedures and the Data Protection Act.
To ensure the membership and groups areas of the website and intranet are kept up to date (particularly the groups Map and special offers).
To assist the Membership and Groups team with the moderation of the membership online forum including overseeing the involvement of our volunteer moderators.
To produce queries from our database and update weekly, quarterly and annual reports in Excel, PowerPoint and Word in line with funders reporting requirements.
Ensure that online, telephone and email processes for joining, welcoming, and communicating with members and groups are maintained and up to date.
To ensure customer service and team procedure levels are met and progress monitored against these targets.
To support engagement of members and groups in our work for example by organising focus groups, administering and recording results from membership surveysWhat do I need to be successful in this role?

The ability to undertake a number of administrative tasks quickly and accurately, with excellent attention to detail.
High level of numeracy and ability to use Excel spread sheets for recording, analysing numerical data to produce reports, charts and graphs in a timely and accurate manner.
Experience of using customer relationship management databases for data entry and analysis (ideally Progress, or demonstrable ability to learn quickly how to use Progress).
Able to communicate by email, telephone and online forums in a calm, professional and empathetic manner.
Experience using a public online forum.
A demonstrable understanding of how to deliver high levels of customer service and care to a range of audiences
Ability to manage workload effectively, meet deadlines and communicate workload updates to team and line manager.
A demonstrable understanding of the Data Protection Act and good practice in processing sensitive and confidential information.
The ability to use a range of IT systems and packages, including good knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint), databases, CMS systems and online email systems.
