JOB DESCRIPTION

Job Title: Meeting & Events Sales Executive

Reports to: Meeting & Events Sales Office Supervisor

Summary of Post

a multipurpose and diverse venue which hosts conferences and events throughout the year, is located in central London. 

The centre has seven flexible event and meeting spaces that can support an array of clients from charities and local authorities through to corporate and international clients.

The post-holder will be responsible for meeting monthly and annual sales targets by responding to all incoming enquiries to the department, writing proposals, conducting site visits with clients, converting bookings and co-ordinating all details relating to the event to actively sell the conference facilities to maximise the generation of external revenue. Maximising income by retaining existing clients and expanding the current client list will be crucial parts of this role along with market awareness and product development.

The post-holder will ensure a seamless handover of client bookings from Sales through to Operations but on occasion will be required to duty manage their events. Reports will need to be prepared, including financial reports.

The position requires a dynamic and flexible candidate with an open approach to problem solving. Assisting clients, liaising with colleagues and suppliers to ensure clients’ needs are met fully will be a key part of this role.

A friendly and professional nature is required along with a strong sense of attention to detail.

  1. RESPONSIBILITIES

Sales

To meet Monthly and Annual Sales Targets including department revenue, conversion, pro-active sales calls, new business appointments and calls as well as monthly focus market segment. 

To handle all incoming sales enquiries and manage bookings diary to maximise income and spaces let, selling to prospective and existing clients.

Provide high quality written proposals to enquires for meetings and events within specified time limits and to company and departmental standards

Proactively following up on enquiries and bookings to ensure the highest level of conversion and accurately record and follow up on all lost business.

Maintaining contact and good business relationships with lapsed clients

Account management for all top and regular clients.

Follow the sales strategy and activities as set by the Meeting & Events Sales Office Supervisor

Responsible for conversion of incoming meeting and events enquiries from all sources into confirmed business and for preparing contracts

To carry out telephone negotiations and conduct site visits to include comprehensive and professional tours of facilities with prospective clients at all levels.

Accurate data entry and recording of booking information including records of all customer contact in order to maximise potential business and ensure effective communication to other departments.

Monitor monthly sales activities, report on results and take appropriate action to ensure activities are being met and exceeded.

Regularly update monthly sales reports, within 7 days of the end of the period.

Finance

To liaise with Finance and the Operations Manager to ensure that all events are invoiced accurately and in accordance with financial regulations.

Ensuring prompt collection of deposits, pre-payments and/or credit authorisation forms for all clients.

Ensuring prompt and accurate posting of all moneys received.

Client Liaison

Check customer satisfaction and resolve any outstanding issues to ensure future business. Ensuring that it is recorded and effectively communicated to all relevant parties – including the Operations Manager and Marketing team, for analysis.

To work effectively with and fully brief the operations team on all events, ensuring that our customers’ expectations are exceeded. This will include periodic attendance on the day of the event.

Ensure that all relevant information is communicated in a timely manner to relevant departments (weekly/daily catering report)

To build a strong client relationship, understanding and interpreting the aim of the event and therefore provide all the options and facilities available to realise the goal.

To maintain and increase existing business and relationships

To plan and organise all practical aspects of the event, in accordance with clients’ wishes (e.g. catering, audio visual, room set up, car parking, security, cleaning etc) identifying opportunities to up sell. Ensure the timely handover of client bookings to Conference Operations Team once the booking has been confirmed

Maintain and develop good contacts and working relationships with colleagues, customers, contractors, suppliers, stakeholders and external organisations in order to promote the value of the work we deliver

Attendance at networking events, trade exhibitions and familiarisation trips where appropriate for face-to-face selling and relationship building.

To take responsibility in coalition and communication of development projects as set by your manager.

To utilise opportunities that develop product knowledge, sales, marketing, financial and customer service skills.

To work flexibly in accordance with the operational needs of the business. Support the Operations team as required, particularly for larger bookings.

Help to manage the Venues social media pages

Work closely with Marketing team to achieve the marketing strategy for Venues.

To attend sales and marketing meetings

Assist with clerical work as and when required

Operational assistance with set up of furniture and equipment in rooms as required.

Provision of audio-visual set up and technical support for Conference clients.

This list is not exhaustive, additional duties may be required.

  1. HOURS OF WORK

The basic working week will be 40 hours, Monday – Friday. However, days and hours may vary depending on requirements. A flexible attitude to working hours and days of work is essential.

  1. SALARY & BENEFITS
    • The salary range is £30,000 – £32,400depending on experience.
    • Holiday entitlement is 20 working days per annum, rising at the rate of 1 extra day for each year worked, up to a maximum of 25 days.
    • A £2.75 meal allowance per day is given for use in the Catering facilities.
    • Contributory defined benefits pension scheme.
